Overview
PE Global is seeking an Executive Assistant to support a prominent multinational biotechnology company located in North Dublin. This position is offered on a part-time basis (50% workload, approximately 20 hours per week) under an initial 12-month contract with onsite work requirements.
Key Responsibilities
- Serve as the primary liaison for interactions with the SMR Vice President.
- Assist the AND Site Lead with daily site operational management.
- Perform a broad spectrum of administrative duties to enable the SMR Vice President to lead effectively, including managing schedules, agendas, minute taking, action follow-ups, and distribution of metrics.
- Create complex documents, reports, presentations, and correspondences.
- Engage in and manage special business projects involving collaboration with cross-functional teams.
- Facilitate employee-related events, communications, and recognition programs by organizing schedules, supporting meetings, tracking action items, and preparing presentation materials.
- Coordinate SMR-related events such as business meetings, off-site training sessions, team-building exercises, and conferences.
- Oversee arrangements for important internal and external visitors, including transportation, meeting logistics, and catering.
- Plan and book travel arrangements (flights, accommodation, car hire) for the SMR Vice President, considering timing, cost, and scheduling suitability.
- Provide support for AND site activities and act as a backup for the AND Executive Assistant.
- Act as the SAP Subject Matter Expert (SME) for Purchase Order processing.
- Manage site office supplies including order placements and payment processes.
- Participate in cross-functional site teams such as the Site Safety Team as required.
Essential Requirements
- Holder of a third-level qualification in business or a related field (NFQ Level 6).
- At least five years of experience in a similar executive assistant role.
- Advanced proficiency with Microsoft Office Suite, particularly Excel, PowerPoint, and Word.
- Experience with SAP Purchase Order processing is beneficial.
- Familiarity with Time and Attendance and HR systems is advantageous.
- Strong time management skills with the capability to meet deadlines.
- Excellent verbal and written communication abilities.
- Highly organized with strong multitasking skills.
- Capable decision-maker with effective problem-solving skills.
- Excellent interpersonal skills with a demonstrated understanding of business acumen and a flexible, proactive work approach.
- Thorough knowledge of company policies and procedures.
- Ability to handle confidential information responsibly and work independently.
- Experience in managing confidential documentation appropriately.
