Role Summary
The Director of Programs leads HeyTutor’s Program Management and Program Coordination functions with a focus on operational excellence, employee engagement, and strong district partnerships. This position directly manages the Senior Program & Communications Manager and the Lead Program Coordinator, while also setting direction for the broader team of Program Managers and Program Coordinators. The role works closely with Human Resources, FP&A, Legal, Customer Success, Talent Acquisition, and Executive Leadership to improve program performance across the employee lifecycle.
Tutor Operations
- Guide the Program Management team, including the Senior Program & Communications Manager, to improve tutor lifetime value in alignment with customer satisfaction goals.
- Oversee the Program Coordination team, including the Lead Program Coordinator, to support tutor lifetime value while maintaining high service quality.
- Work with HR, General Counsel, and the CEO to address legal or people-related issues that may arise during recruiting, onboarding, or daily tutor operations.
- Support client-facing work by preparing data, presentations, and materials for district check-ins and renewal discussions.
- Track program health across districts using dashboards and performance data to spot risks and improvement opportunities.
- Ensure teams use internal reporting tools, dashboards, and standard processes to drive operational consistency and client success.
People Leadership
- Coach and develop the Senior Program Manager and Lead Program Coordinator by setting clear expectations and supporting career growth.
- Provide strategic oversight to more than 30 employees, including indirect leadership of Program Managers and Program Coordinators through their team leads.
- Enable frontline leaders to handle daily operations while offering guidance on escalated issues.
- Build a culture centered on accountability, teamwork, development, and operational discipline.
- Set leadership standards and best practices that create consistency and service quality across all programs.
- Run regular leadership meetings to review performance, priorities, staffing, and engagement topics.
Employee Relations
- Advise the Senior Program & Communications Manager and Lead Program Coordinator on employee relations, performance management, and conflict resolution.
- Partner with Human Resources on escalated employee issues, investigations, corrective action, and policy interpretation.
- Spot recurring employee relations issues across program teams and introduce proactive measures to strengthen engagement, accountability, and retention.
Program and Retention Strategy
- Collaborate with FP&A and the CEO to create, monitor, and report on KPIs for both the remote Program Management team and the in-person Program Coordination team.
- Own operational KPIs such as school-site employee retention, employee churn, program stability, customer satisfaction, and team performance, in coordination with the Senior National Hiring Manager where relevant.
- Work with the Senior National Hiring Manager to review recruiting, onboarding, and retention metrics and build strategies that increase school-site employee lifetime value.
- Hold program leaders accountable for operational and retention goals through regular reviews and data-backed action plans.
- Identify performance trends and launch initiatives that improve efficiency, engagement, and program outcomes.
- Create and implement plans to improve retention and reduce both voluntary and involuntary turnover.
- Use workforce analytics to uncover opportunities for continuous improvement and operational gains.
Key Objectives
- Lead the Program organization to achieve strong operations, high employee engagement, and excellent customer satisfaction across school-site programs.
- Increase tutor retention, lower employee churn, and maximize tutor lifetime value through strategic oversight, KPI ownership, and partnership with the Senior National Hiring Manager.
- Partner with HR, Legal, the COO, and Executive Leadership to address employee relations, compliance, and operational challenges while supporting scalable improvements.
Travel Requirements
This role requires travel to school districts and program sites as needed to support operations and client partnerships. Mileage is reimbursable.
Qualifications
- A bachelor’s degree in Business, Education, Human Resources, or a related discipline is required; a master’s degree is preferred.
- At least 7 years of progressive leadership experience in program management, operations, education, or a related area.
- At least 3 years of experience managing managers and leading large, multi-level teams.
- Demonstrated success with cross-functional initiatives and collaboration with HR, Finance, Legal, Recruiting, and Executive Leadership.
- Strong background using KPIs and data to improve operational results, employee retention, and client satisfaction.
- Experience handling employee relations, performance management, and organizational development.
- Strong leadership, communication, organization, and problem-solving abilities.
- Ability to handle sensitive and confidential information with professionalism and good judgment.
- Experience with Google Workspace or Microsoft Office, plus CRM, reporting, and workforce management tools preferred.
