Job description
Role Overview
The Data and Systems Administrator leads the management, quality control, and governance of the school's data, ensuring accuracy, consistency, security, and suitability across all systems. This role manages data standards, academic and operational data, and supports key platforms including timetabling, Toddle, Learning Analytics Collaborative (LAC), iSAMS, OpenApply, and ClassLink.
Key Responsibilities
- Establish and enforce data quality standards and protocols across school systems.
- Provide staff guidance on accurate data entry and maintain data integrity by auditing and cleansing data regularly.
- Manage data governance, including imports, exports, synchronization, validation, backup, and system maintenance.
- Administer and validate timetable-related data ensuring compliance with standards for the master timetable.
- Maintain data standards consistently across all school platforms.
- Coordinate data collection, validation, and timely submission fulfilling operational and regulatory requirements.
- Execute the annual rollover process for school database systems, preparing and configuring data for the upcoming academic year.
- Maintain strong relationships with software vendors and service providers to optimize support and system improvements.
- Provide training and collaboration to enhance data management practices and user competence across the school.
- Document processes and continually improve data management systems for efficiency and compliance.
- Support report card and transcript preparation and respond to administrative data requests with analysis to identify trends and opportunities.

Qualifications and Experience
- Bachelor’s degree in Information Management, Information Systems, Computer Science, Data Analytics, or related field.
- 3–5 years’ experience in data management, MIS, or timetabling roles, preferably in international education.
- Demonstrated expertise in managing information systems, databases, and data quality assurance.
- Proficient in handling academic, operational, and scheduling data accurately.
- Strong skills in Microsoft 365 apps, especially Excel, SharePoint, and Power BI.
- Experience developing and implementing data standards and operational validation processes.
- Proven ability to juggle multiple tasks, meet deadlines, and collaborate effectively.
- Experience supporting system rollovers and academic year setups annually.
- Additional professional certifications (Microsoft, ITIL, DAMA, PRINCE2) are a plus.
