Job Overview
The Cleaning Supervisor is responsible for managing and overseeing cleaning personnel at a designated site, ensuring the maintenance of cleanliness to the standards set by the Education Authority (EA). This role involves both supervisory duties and performing cleaning tasks as needed.
Core Responsibilities
- Organize, plan, and supervise cleaning staff to meet EA cleaning standards, including performing cleaning duties personally.
- Conduct induction, skills, and refresher training in alignment with EA practices.
- Communicate closely with building managers or authorized personnel on daily cleaning matters.
- Investigate complaints regarding the cleaning service, initiate corrective actions, and report to the line manager when necessary.
- Manage inventory, ensuring adequate stock of materials and proper maintenance and storage of cleaning equipment within budget.
- Evaluate the appropriateness and effectiveness of cleaning materials and equipment, advising the line manager on necessary changes.
- Recommend and implement work procedure improvements for cost efficiency and quality enhancement in consultation with the line manager.
- Ensure cleaning standards are consistently upheld at all premises.
- Control allocation and return of keys to cleaning staff daily.
- Coordinate scheduled cleaning tasks in partnership with service users and notify the Area Coordinator ahead of school closures.
- Maintain timely and accurate records for staff attendance, leave, and absences.
- Keep detailed records of consumable stock levels and equipment inventory.
General Conditions and Compliance
- Perform all tasks while complying with legal requirements such as The Health and Safety at Work (NI) Order 1978, COSHH Regulations, Acts of Parliament, Statutory Instruments, Regulations, and relevant Codes of Practice.
- Work conditions inherent to the role must be accepted, including covering duties of absent colleagues according to EA guidelines.
- Absences must be reported promptly with appropriate documentation and authorization.
- Wear issued protective clothing and flat-soled, enclosed-toe footwear during cleaning duties.
- Use, maintain, and report defects of cleaning equipment properly and safely.
- Complete all necessary administrative paperwork accurately.
- Perform duties up to own grade level, including those of colleagues when competent.
Training and Development
- Participate in induction and refresher training as mandated by EA to maintain up-to-date cleaning standards and practices.
- Accept training for responsibilities at or above own grade; payment applies only when higher-grade duties are assigned by EA.
Legal and Regulatory Considerations
- The role requires adherence to equality legislation in line with the Northern Ireland Act (1998), promoting equality and good relations.
- Positions working in educational institutions mandate an enhanced disclosure check under the Safeguarding Vulnerable Groups (NI) Order 2007, with associated costs currently £33, payable by the employee.
Candidate Requirements
- Essential: Minimum two years of cleaning experience outside home environments.
- Ability to work under pressure, use initiative, and meet deadlines.
- Strong communication and interpersonal skills, with proficiency in English.
- Effective organizational and planning capabilities.
- Teamwork orientation and flexibility in work approach, including ability to give instructions.
- Knowledge of cleaning supervisor duties, cleaning methods, machinery, and relevant health and safety legislation.
- Desirable: Experience in supervising staff.
