Role Overview

The Business Systems Lead is a vital member in maintaining the effectiveness and security of Penda's IT infrastructure. This role oversees daily IT system operations, resolves technical problems, and upkeeps software and cloud-based services to reduce interruptions. The successful candidate will be a forward-thinking problem solver with strong technical expertise and comprehensive knowledge of healthcare IT systems, including Electronic Medical Record Systems (HMIS). Effective communication skills are crucial to assist users ranging from technical staff to non-technical personnel across multiple sites. The position also requires active collaboration with the business systems team on projects and plays a key role in enforcing system compliance and security protocols.

Key Responsibilities

• Supervise daily management and upkeep of all IT software applications.
• Continuously monitor and resolve system issues to maintain operational uptime.
• Perform periodic system audits, apply updates, patches, and new releases.
• Implement and sustain security protocols across all software platforms.
• Ensure IT policies and organizational strategies are consistently met.
• Manage user accounts and access control, including creation and enforcement of policies.
• Set application security levels according to user roles.
• Act as a primary point for escalation of system issues, coordinating with Help Desk and teams for prompt resolutions.
• Offer both remote and onsite technical assistance to users at various clinics and support offices to understand user issues and enhance service delivery.
• Oversee escalated technical issues ensuring adherence to SLA timelines with the system team.
• Conduct onboarding training on IT systems and security for new hires and ongoing user education on system updates.
• Develop and manage comprehensive documentation, manuals, and procedure guides for all software systems.
• Communicate effectively about system updates internally and externally.
• Liaise with third-party vendors to resolve IT-related challenges.
• Lead regular business continuity exercises for software solutions and follow up on audit findings to maintain full compliance.
• Assist in the evaluation, implementation, and management of new software products, ensuring effective subscription management.
• Work closely with business analysts to maximize software impact on business goals.
• Troubleshoot and manage accounts for core applications and enforce IT system usage policies.

Applicant Qualifications and Skills

• A Bachelor's degree in Computer Science, IT, or a related discipline is required.
• Minimum of three years’ experience in IT systems administration.
• Strong understanding of network infrastructure and security standards.
• Experience with healthcare IT systems, especially Electronic Medical Records.
• Highly organized, self-motivated, with meticulous attention to detail.
• Ability to handle multiple simultaneous projects and user support tasks efficiently.
• Adaptable, entrepreneurial mindset comfortable with ambiguity and changing priorities.
• Capable of working independently with minimal supervision.
• Excellent interpersonal and communication skills, both written and verbal.
• Proven track record of managing critical projects under tight deadlines.
• Willingness to work flexible hours as needed.
• Programming abilities in languages such as Python, JavaScript, or C# considered a plus.
• Relevant IT certifications like CompTIA Network+, MCSE, or CCNA are advantageous.
