Role Overview

As a Business Operations Analyst based in Sydney, you will collaborate directly with the COO to manage finance, cybersecurity operations, billing, and strategy execution. Your role involves transforming complex data, processes, and reports into clear, actionable insights for senior leaders. This multifaceted position requires proficiency in financial modelling, cybersecurity compliance monitoring, billing issue resolution, and preparing presentations for executive stakeholders. You will serve as the bridge connecting finance, operations, security, and other business functions to ensure smooth execution and alignment.

Key Responsibilities

• Support the development of financial models, forecasts, and variance analyses to guide decision-making.
• Create and maintain comprehensive financial reports, dashboards, and summaries for the COO and leadership team.
• Assist with budget monitoring, cost analysis, and evaluating financial performance.
• Analyse business metrics to identify patterns, risks, and growth opportunities.
• Coordinate with cyber and operations teams to monitor, document, and report security activities and metrics.
• Support compliance and audit preparations by gathering necessary data and documentation.
• Maintain visibility over security workflows and reporting processes.
• Act as a communication conduit between technical cyber teams and non-technical stakeholders to foster clear understanding and documentation.
• Map, document, and analyse business processes to discover inefficiencies and suggest improvements.
• Assist in cross-departmental projects from inception through completion.
• Manage operational trackers, status reports, and workflow documents to ensure task progress.
• Coordinate across departments to maintain attention to business-critical tasks.
• Support billing tasks including reconciliation, invoice tracking, and resolving disputes.
• Collaborate with finance and product teams to guarantee billing data accuracy and process integrity.
• Generate billing reports and assist with month-end billing closures.
• Develop polished presentations and reports for internal and external stakeholders, translating complex data into clear visuals.
• Maintain and enhance reporting templates and standards throughout the organisation.
• Aid the COO in monitoring and advancing strategic initiatives that align with business goals.
• Prepare briefing documents, research compilations, and competitive analyses to assist decision-making.
• Support preparations for board and executive meetings.
• Track key business metrics, highlighting areas performing ahead or behind plan.

Candidate Profile

• Possess strong financial and analytical capabilities with experience building models, budget tracking, and interpreting business data.
• Have a minimum of three years’ experience in business operations, finance, project management, or comparable roles, preferably within technology-driven or scaling businesses.
• Comfortable collaborating with technical teams such as cybersecurity and engineering without being a technical specialist.
• Demonstrate excellent written and verbal communication skills capable of producing executive-level reports and presentations.
• Exhibit meticulous attention to detail and strong process discipline, identifying and rectifying discrepancies and inefficiencies.
• Capable of handling multiple diverse projects simultaneously and adapting priorities based on evolving business demands.
• Show a proactive, humble approach well-suited for close, hands-on work with senior leadership in a founding team atmosphere.
