Role Overview

The Bilingual Payroll Specialist will report to the Payroll Manager and be responsible for ensuring the precise and timely execution of payroll operations for over 600 employees across various sites and shifts. This role encompasses full-cycle payroll processing, payroll record management, payroll data verification, compliance with federal and provincial payroll legislation, and assistance with year-end reporting and statutory compliance filings.

Key Responsibilities

  • Execute payroll for 600+ employees across multiple locations and shifts following the defined payroll schedule accurately and promptly.
  • Validate and input payroll information such as new hires, terminations, salary modifications, promotions, overtime, bonuses, taxable benefits, leaves, and adjustments.
  • Review timesheets and payroll entries to detect discrepancies and validate data completeness and correctness.
  • Interpret and comply with applicable federal/provincial payroll laws, employment standards, company policies, and payroll procedures.
  • Contribute to year-end activities, including preparing and reconciling T4s, T4As, RL-1s, Records of Employment, and other mandatory reports.
  • Assist with Workers' Compensation and Employer Health Tax filings across Canadian provinces, ensuring adherence to regulations and deadlines.
  • Participate in payroll system upgrades, testing, and process enhancement initiatives.
  • Help maintain updated payroll procedures and documentation to ensure compliance and consistency.
  • Collaborate with HR, Finance, managers, and employees to investigate and resolve payroll issues promptly and professionally.
  • Deliver excellent customer service by responding to payroll inquiries efficiently and discreetly.
  • Perform other assigned tasks and special projects as needed.

Required Skills and Abilities

  • Comprehensive knowledge of Canadian payroll legislation, CRA guidelines, provincial employment standards, and multi-jurisdictional payroll complexities.
  • Proficiency in Microsoft Office suite, with advanced skills in Excel.
  • Strong analytical thinking, organizational skills, and meticulous attention to detail.
  • Capability to manage multiple priorities and deadlines effectively in a dynamic environment.
  • Excellent written, verbal communication and interpersonal skills.
  • Customer-oriented mindset with an ability to collaborate across various departments.
  • Commitment to confidentiality and discretion when handling sensitive employee data.
  • Ability to operate independently while also contributing positively within a team.

Experience and Education

  • Post-secondary qualification in fields such as Accounting, Finance, Business Administration, or Payroll Administration, or equivalent combined education and experience.
  • Fluency in both English and French is required.
  • Between 2 and 5 years’ experience managing high-volume payroll processes.
  • Familiarity with Canadian payroll systems; experience with U.S. payroll is advantageous.
  • Experience using Workday or similar enterprise HRIS/payroll platforms is beneficial.
  • Preference given to candidates with the Payroll Compliance Practitioner (PCP) designation or those pursuing certification.

The salary range for this full-time remote position based in Ottawa is between $65,000 and $80,000 annually.
