Job Overview
The Attendance Executive will be responsible for managing and reporting on employee attendance, punctuality, and compliance with official work hours using biometric devices and electronic systems. This role involves data verification, monitoring attendance violations, coordinating with HR and department heads, and ensuring adherence to labor regulations.
Key Responsibilities
- Prepare daily, weekly, and monthly attendance and discipline reports for relevant authorities.
- Monitor employee adherence to approved official workdays and hours in accordance with applicable rules and regulations.
- Oversee the recording of attendance data through biometric devices, electronic systems, or other authorized methods.
- Review daily attendance records to verify data accuracy, completeness, and identify exceptional cases.
- Track employees exempted from using attendance recording devices as per approved decisions and authorities.
- Detect repeated attendance violations and compile reports for escalation to relevant departments when regulatory thresholds are reached.
- Coordinate with direct supervisors to validate explanations for violations such as absences, delays, or failure to register attendance.
- Analyze attendance compliance metrics to identify patterns of lateness, absenteeism, or infractions.
- Work closely with the Human Resources Department to enforce disciplinary actions and procedures for attendance misconduct in line with established regulations.
- Ensure employees are informed about penalties and actions taken within specified timeframes.
- Liaise with the IT Department to resolve technical malfunctions related to attendance devices and systems to guarantee their continuous operation.
- Update attendance data within the HR system to maintain data integrity and accuracy.
- Maintain and electronically archive attendance records and reports following document retention policies and confidentiality standards.
- Provide guidance and support to employees on attendance procedures and the use of electronic systems.
- Propose improvements to attendance monitoring processes and systems to enhance commitment levels and operational efficiency.
- Comply with HR policies and internal regulations concerning attendance and workplace discipline.
- Perform additional duties assigned by the direct supervisor that are relevant to the role.
Qualifications and Skills
- Bachelor's degree in Human Resource Management, Business Administration, or a related field is required.
- Preferred qualification is a bachelor's degree in the above fields.
- Experience ranging from two to four years in personnel affairs, HR operations, or attendance management using electronic systems is essential for operational knowledge and procedural expertise.
- Advanced proficiency in Microsoft Excel for data analysis and reporting.
- Ability to prepare and analyze statistical reports and performance indicators (KPIs).
- Familiarity with labor laws and workplace regulations.
- Competency in Microsoft Office applications.
Salary and Application Details
The salary range for this position is AED 10,000 to AED 16,000 per month.
