Key Responsibilities
- Maintain accurate artist contact details and deal records within a specialized CRM booking platform.
- Regularly update client biographies, riders, and marketing collateral.
- Input offers and pertinent event details into the CRM system.
- Prepare and issue contracts for confirmed bookings and manage contract revisions as needed.
- Monitor outstanding contracts and follow up to secure signatures.
- Compile and dispatch artist itineraries.
- Generate invoices for show-related payments such as deposits and balances.
- Record settlement figures in CRM and coordinate with accounting for statement generation.
- Track unpaid deposits and collaborate with finance to ensure timely receipt of funds.
- Manage immigration documentation including Certificates of Sponsorship.
- Coordinate tour announcements and manage ticket sales, communicating with promoters and artist teams regarding ticketing and promotional materials.
- Schedule and confirm meetings, maintain calendars for agents and internal artist engagements.
- Handle incoming calls on agents' behalf.
- Arrange business travel for agents as required.
- Submit agent expense reports accurately.
- Organize guest lists for shows and festivals.
- Undertake additional duties as assigned.
Required Skills and Experience
- Prior experience in a Music Assistant capacity.
- Strong organizational abilities.
- Excellent communication skills.
- Proficiency with CRM systems, Microsoft Outlook, and Word.
