Role overview

This position is focused on improving and delivering the workplace experience across Scotiabank North. The role blends service delivery, community coordination, communication, and continuous improvement to keep employees and visitors engaged, productive, and supported. It also requires ensuring day-to-day activities follow governance requirements, internal policies, and procedures, while feeding learnings back into future improvements.

Onsite and virtual support

  • Offer in-person assistance to employees on site.
  • Support employee needs across digital channels and tools, including MS Teams, Workplace, Scotiabank Live, and the Visitor Management System.
  • Track and report floor occupancy using centralized tools such as OfficeSpace.

Employee experience

  • Serve as a primary contact for employees at Scotiabank North, as well as internal and external guests.
  • Partner in creating workflow steps and guidance for handling questions, complaints, suggestions, and compliments.
  • Identify operational issues and strengths, prioritize them, and help shape practical solutions with the appropriate stakeholders.
  • Respond to messages sent to the lead inbox and moderate discussions on the SharePoint site.
  • Provide building orientation for new employees at all levels.
  • Support campus and resident concerns, working with management to resolve issues when needed.

Security and access administration

  • Oversee employee security access, lockers, and key records.
  • Keep security, key, and locker information current and accurate.
  • Escalate security concerns quickly and manage data related to access control.
  • Work closely with building security to ensure access rules are followed.
  • Handle onboarding and offboarding badge requests.
  • Report suspicious activity to security when required.

Change management and continuous improvement

  • Support the operating model and identify opportunities that help employees and the leadership program team adopt change more effectively.
  • Create and maintain documented procedures for daily operations.
  • Build a culture of ongoing improvement by shaping feedback loops and making sure updates are communicated to the wider group.

Events and meeting support

  • Arrange bookings and support resident meetings, including town halls and social committee events.
  • Ensure meeting and conference rooms in the assigned area meet operational standards.
  • Provide orientation for meeting-room technology.

Visitor experience

  • Act as the first contact for building and floor visitors.
  • Help design and deliver visitor welcome procedures.
  • Coordinate floor tours for residents and visitors based on guidance from management and business partners.

Facilities, supplies, and mail

  • Work with Building Services or Real Estate to resolve cleaning, HVAC, lighting, and similar operational issues quickly.
  • Monitor and replenish stationery and supplies.
  • Help develop the mail distribution process, receive and sign for deliveries, and coordinate courier pickups.
  • Inform residents when mail or deliveries are available at reception.

Health, safety, and governance

  • Participate in the OHS committee to help ensure the floor has enough Fire Wardens, First Aid Attendants, and Health and Safety representatives.
  • Apply the bank’s risk appetite and risk culture in everyday decisions.
  • Maintain strong day-to-day controls and comply with requirements related to operational risk, regulatory compliance risk, AML/ATF risk, and conduct risk.
  • Follow the Operational Risk Management Framework, the Regulatory Compliance Risk Management Framework, the AML/ATF Global Handbook, and the Scotiabank Code of Conduct.

Role scope and working environment

  • Scotiabank North is a 17-floor campus at Bay and Adelaide, with roughly 200 to 300 employees per floor.
  • The role calls for a high degree of independence, strong organization, and excellent written and verbal communication.
  • The environment is collaborative, inclusive, creative, and fast-paced.
  • Flexibility is important because multiple priorities and a high workload must be managed at once.
  • Non-standard hours are common, and the role can involve pressure from deadlines and critical service expectations.
  • The job is mainly non-physical, with some walking, sitting, and standing, plus regular movement around the building across multiple floors.
  • Focused computer work is required, and occasional work from home may be needed.
