Responsibilities
- Serve as the primary contact for technical support and warranty inquiries via email and phone.
- Maintain professional communication with contractors, distributors, sales representatives, and internal teams.
- Gather necessary jobsite documentation, photos, equipment details, and supporting materials.
- Arrange customer follow-ups, conference calls, and field service appointments.
- Ensure consistent and professional communication throughout the entire support lifecycle.
- Create, update, and manage support cases using project management software.
- Monitor open issues, action items, deadlines, and follow-up requirements.
- Keep accurate records of all customer interactions, reports, and technical documentation.
- Verify that all case information is complete and properly organized before any escalation.
- Assist with the daily operations of the Technical Services and Warranty team.
- Prepare concise case summaries and status reports for management.
- Facilitate smooth communication between customers and various internal departments.
- Track ongoing projects and ensure timely completion of outstanding tasks.
- Escalate issues that require review by management, engineering, quality assurance, or warranty departments.
- Identify trends in recurring issues, communication breakdowns, and potential process improvements.
- Support the generation of customer-facing communications and internal documentation.
Requirements
- Demonstrated strong written and verbal communication abilities.
- Exceptional organizational and time management skills.
- A high degree of accuracy and attention to detail in documentation.
- Capacity to manage multiple priorities effectively in a time-sensitive environment.
- Previous experience in customer service, administrative support, or coordination roles.
- Proficiency in Microsoft Office Suite and standard email applications.
- Familiarity with project management software (e.g., ClickUp, Asana, Monday.com) is preferred.
- Experience in manufacturing, construction, service coordination, warranty administration, or operations support is advantageous.
- HVAC industry knowledge is a plus but not mandatory.
- Must be process-oriented, highly organized, and possess a strong sense of accountability.
- Ability to remain professional and composed under pressure.
