About the role

Omnicom Health Medical Communications is a global partner to pharmaceutical, biotech, and healthcare brands, helping translate complex science into compelling communications. The organization works across publications, medical affairs, and regulatory consultation, supporting more than 150 medicines from early discovery through commercialization.

This position oversees the planning and execution of meetings, events, and speaker programs that are aligned with client business goals. It also acts as a central logistical resource for internal teams, leads the group responsible for delivery, manages client relationships and scopes of work, and helps improve the systems that support the meetings services function.

What you'll do

  • Lead the meetings and events team, including coaching direct reports and distributing work across the department.
  • Build, maintain, and improve standard operating procedures for meetings services.
  • Assess team capacity and assign resources based on availability and individual strengths.
  • Oversee several projects at once and keep multiple workstreams moving forward.
  • Source, evaluate, and manage external vendors for logistical needs such as audio visual support, transportation, and hotels.
  • Work with finance and client partners to develop accurate scopes and keep projects on budget and on schedule.
  • Maintain strong client relationships and provide day-to-day account leadership for meetings-related work.
  • Support new business efforts and annual planning by developing recommendations and presenting materials to clients.
  • Provide coverage for meetings and events across brands and assist senior leadership when needed.
  • Act as a spokesperson for meetings, logistics, and speaker program initiatives in internal and client-facing settings.
  • Train the team on industry expectations and ensure work follows agency, client, federal, healthcare compliance, and ethics requirements.
  • Handle administrative needs such as data entry, scheduling, and project coordination when required.

Requirements

  • Bachelor’s degree in business, communications, or a meetings-related discipline.
  • At least 5 years of people management experience.
  • At least 10 years of experience in meetings management.
  • At least 5 years of experience in pharma or agency medical communications.
  • Working knowledge of Cvent for meetings management.
  • Ability to use Microsoft Excel for basic formulas and functions.
  • Experience with Workfront, Workfront Proof, or a similar workflow tool.
  • Strong Microsoft PowerPoint skills for creating business presentation slides.
  • Comfort working within healthcare compliance, ethics, and regulatory expectations.

This role is part of Omnicom Health Group in the United States. The stated base salary range for this position is $140,000 to $200,000. Compensation may vary based on experience, education, responsibilities, training, and broader business needs. The listed salary is only one component of the overall compensation package.
