Role overview

This permanent full-time position is based in London, UK and reports to the Visual Design Manager. It sits within the Visual Design team and focuses on coordinating projects after the creative concept has been completed. The purpose of the role is to make sure ideas move smoothly into delivery, stay on schedule, remain within budget, and are executed to a high standard across internal teams and external suppliers.

The role supports CHANEL Beauty’s broader mission of helping clients express what makes them unique through fragrance, makeup, skincare and carefully crafted brand experiences. It also contributes to the house’s way of working by improving processes, strengthening communication, and keeping project activity aligned with global standards.

What the role involves

You will act as a key operational link between Visual Design, VM, internal stakeholders and outside partners. The job includes briefing management, timeline tracking, procurement, logistics, supplier coordination, installations and the smooth handling of creative workflows. You will also help maintain budget control, manage communications, and ensure project documentation is accurate and complete.

The position requires someone who is highly organised, comfortable working in a fast-moving environment, and able to balance multiple priorities while keeping a close eye on detail. A genuine interest in retail design, visual merchandising and project coordination is important, along with collaborative working style and strong people skills.

Responsibilities

  • Coordinate the manufacture, delivery, installation and derig of trade and promotional activity across the UK and TR, making sure the visual result matches the intended creative direction.
  • Take 3D concepts and technical layouts from the design team through to live installation, ensuring all work follows the required guidelines and specifications.
  • Handle supplier engagement, purchasing activity, reporting and follow-through so delivery remains clear, accountable and cost-effective.
  • Track budgets, manage financial admin and PO coding, and keep internal stakeholders updated on current forecasts and working budgets.
  • Support sustainability and CSR activity by encouraging responsible material use, overseeing asset lifecycles, and arranging recycling for outdated or surplus items.
  • Keep teams informed about schedules, risks, delays and changes, while improving tools, systems and ways of working to increase efficiency and campaign output.
  • Assist with project management across graphic design work handled by the Visual Design team.
  • Work with internal departments to organise engaging design concepts for staff events, including product launch activity.
  • Partner with the PR team on high-profile Open-Door events in head office and other venues for influencers and magazine editors, including project management, installation and derig.
  • Handle artwork, layouts, approvals and related communications for these event-based projects.
  • Coordinate event emails, invitations and internal collateral for Wellness@CHANEL activities.
  • Support local design-led initiatives and provide coordination help for invitations and occasional events.
  • Contribute to Social Commitment activity by helping build internal networking opportunities and supporting design/co-ordination needs where possible.
  • Assist field visual merchandisers and the wider design team with daily tasks and any other duties appropriate to the role.
  • Manage the full lifecycle of creative projects, including localisation and adaptation of global initiatives and UK-led work from briefing through to final delivery.
  • Act as the main contact point for creative requests, reviewing briefs, checking documentation, monitoring milestones and progress, and helping ensure timely delivery.
  • Work with the 5Q2 display team on logistics and storage requirements.

Requirements

  • Strong ability to organise work efficiently, improve processes and maintain consistency, quality and deadline discipline.
  • Comfortable building trusted working relationships across teams and using structured follow-ups and reviews to capture learning and drive improvement.
  • Able to perform well in a busy, high-pressure environment with clear communication and a balance of independent ownership and teamwork.
  • Real interest in retail design, VM design and project management, supported by relevant industry exposure and an awareness of sustainability.
  • Proficiency with Adobe Creative Suite, especially InDesign, Illustrator and Photoshop, plus Microsoft Office.
  • SketchUp knowledge is helpful.
  • Flexibility to work from a London office and remotely when needed.
  • Responsibilities are intended as an overview and may expand during training.
