Job Overview
Cherished Ceremonies Weddings, a leading wedding planning and event coordination firm, is looking for a highly organised and proactive Virtual Assistant to join their team remotely within the United States. This full-time role offers a great chance to support a creative team in delivering personalised and memorable events. The successful candidate will serve as the administrative backbone, enabling planners to focus on outstanding client experiences.
Key Responsibilities
- Manage and organise planners' calendars, schedule client and vendor meetings, and facilitate appointments.
- Handle email communications, including prompt responses to initial client inquiries.
- Research, reach out to, and coordinate with vendors to expand and maintain trusted partner relationships.
- Prepare, send, and track client contracts, proposals, and invoices promptly.
- Maintain accurate and up-to-date client records within the CRM system.
- Develop and oversee detailed event timelines, checklists, and planning documentation.
- Support the team with administrative tasks such as data entry and document preparation.
- Assist in scheduling and preparing content for social media channels.
Qualifications and Skills
- Demonstrated experience as a Virtual Assistant or in a comparable administrative role.
- Exceptional organisational abilities, multitasking capacity, and time management skills.
- Excellent written and verbal communication skills with a professional and approachable attitude.
- Proficient with Google Workspace and Microsoft Office Suite (Word, Excel, PowerPoint).
- Capable of working independently with minimal supervision and taking initiative.
- Committed to discretion and confidentiality when managing client data.
- Experience in weddings, events, or hospitality industries is highly advantageous.
- Familiarity with project management tools (e.g., Asana, Trello) and CRM platforms is a plus.
