Position Overview
Animal Hospital of Dunedin is looking for a dedicated and empathetic veterinary receptionist to be the initial contact point for our clients and their pets. This vital role demands a balance of meticulous administrative skills along with sincere compassion, especially when dealing with sensitive or emotionally charged interactions.
Key Responsibilities
- Warmly welcome clients and patients, verify and update their medical information, and confirm appointment details using practice management software.
- Manage a multi-line phone system by responding to queries regarding appointments, prescription refills, vaccination records, and hospital information.
- Handle client check-outs by processing payments, posting charges, explaining invoices, and scheduling follow-up visits.
- Communicate medical details, diagnoses, and care instructions clearly and compassionately, including delicate situations like euthanasia and end-of-life planning.
- Maintain accurate electronic medical records and ensure prompt data entry within the veterinary practice information system.
- Coordinate communications between veterinarians, technicians, and support staff, ensuring urgent cases are prioritized and patient flow is efficient.
- Keep the reception area and waiting room clean and organized to foster a welcoming atmosphere.
Candidate Qualifications
- At least one year of experience as a veterinary receptionist is essential.
- Familiarity with veterinary practice management software such as Cornerstone, Avimark, ImproMed, eVetPractice, or ezyVet is preferred.
- Understanding of veterinary terminology, vaccination protocols, and fundamental diagnostic procedures.
- Skilled in scheduling appointments, managing multi-line phones, handling medical records, and performing payment processing.
- Demonstrated customer service expertise, capable of managing high client volumes with professionalism and accuracy.
- Excellent verbal and written communication abilities, including active listening and conflict resolution skills.
- Comfortable interacting with animals of various sizes, breeds, and temperaments, including those who may be fearful or reactive.
Work Schedule and Compensation
- Work hours: Monday, Tuesday, Thursday, and Friday from 8 AM to 6 PM; Wednesday from 8 AM to 8 PM; alternating weekends including Saturdays 8 AM to 2 PM and Sundays 8 AM to 12 PM.
- Salary range: $17.00 to $19.00 per hour based on experience and skills.
