Role Summary

The Vehicle Registration Officer plays a pivotal role within the Government Relations department, managing the comprehensive vehicle registration lifecycle—covering initial registrations, renewals, ownership transfers, and deregistrations—across Al-Futtaim Automotive's dealership network in Saudi Arabia. This position serves as the vital connection among sales showrooms, service workshops, and Saudi government authorities, ensuring all delivered vehicles meet regulatory standards and are handed over within the stipulated service timelines.

Key Responsibilities

  • Carry out daily vehicle registration transactions, including renewals, ownership shifts, plate issuance, and unregistering vehicles for all KSA locations under management.
  • Utilize government platforms such as Absher Business, Najiz, MVPI, Tamm, Fasah, and Sabir to process transactions in compliance with current regulations and service level commitments.
  • Coordinate mandatory vehicle inspections, insurance documentation, and customs clearance to facilitate timely vehicle delivery to customers.
  • Build and maintain productive collaborations with Traffic Department (Moror), Ministry of Commerce and Investment (MoCI), SASO, ZATCA, insurance providers, and inspection centers to expedite approvals and resolve any procedural challenges.
  • Serve as the main contact point for registration-related communications between sales teams, branch management, and government bodies, representing the company professionally to uphold its reputation.
  • Monitor daily workflow progress to ensure registration timelines align with agreed key performance indicators and customer delivery expectations.
  • Identify process bottlenecks and suggest improvements to reduce delays and limit rework.
  • Ensure secure management and accurate handling of original documents, license plates, and registration cards according to internal auditing standards.
  • Maintain full adherence to Saudi traffic laws, Saudization policies as applicable, and Al-Futtaim's internal governance standards.
  • Verify accuracy of all registration paperwork including Istimara, invoices, insurance certificates, and transfer documents prior to submission.
  • Support audit processes by keeping meticulous and traceable records of all government-related transactions.
  • Accurately update registration details into SAP and the Dealer Management System to provide real-time visibility for Sales, Finance, and Aftersales divisions.
  • Generate timely reports covering registration volumes, processing times, outstanding cases, and exceptions ensuring data integrity.
  • Assist senior management with regulatory updates, ad-hoc data analysis, and efforts to enhance operational procedures.
  • Participate in the ongoing improvement of internal Standard Operating Procedures related to vehicle registration and governmental processes.
  • Keep abreast of changes from regulatory bodies such as Moror, MoCI, and ZATCA and disseminate relevant updates within the organization.

Candidate Profile

  • Comprehensive understanding of vehicle registration processes, Saudi traffic regulations, and governmental electronic services.
  • Fluency in both Arabic and English, with strong communication skills in verbal and written formats.
  • Exceptional attention to detail coupled with a methodical, document-centric work approach.
  • Effective multitasking and time management capacity to handle several cases simultaneously under stringent deadlines.
  • Strong interpersonal skills for managing relationships with senior internal leaders and external government representatives.
  • Problem-solving aptitude to address registration discrepancies, documentation issues, and platform challenges.
  • A customer-focused attitude with accountability extending through to vehicle handover completion.
  • Familiarity with SAP or similar ERP and Dealer Management Systems, alongside proficiency in Microsoft Office tools like Excel for reporting purposes.

Qualifications and Experience

  • Minimum education of high school diploma; diploma or bachelor's degree in Business Administration or related fields is advantageous.
  • Between 2 to 4 years' relevant experience in vehicle registration, government relations, or administrative roles within automotive, leasing, or rental sectors in Saudi Arabia.
  • Hands-on experience working with Saudi government platforms including Absher Business, Najiz, Tamm, MVPI, Fasah, and Sabir.
  • Previous exposure to branch or dealership operational environments preferred.
  • Mandatory bilingual capability in Arabic and English, inclusive of data entry proficiency in both.
  • Experience using SAP or comparable Dealer Management Systems is required.
  • Saudi nationals are highly encouraged to apply in alignment with Saudization initiatives.
