Role summary
This opportunity is for an experienced, proactive professional to join the Victorian automotive operations team in Richmond. Reporting to the National Transactional Services Manager and the National Administration and Process Manager, the Vehicle Compliance Officer will oversee fines and toll administration across the group. The role covers the full process from initial receipt through to final resolution, with a strong emphasis on accuracy, compliance, efficiency, record keeping, and reducing future fines and toll expenses.
Key responsibilities
The position includes national management of fines and tolls, toll account auditing, vehicle record maintenance, reporting, and coordination with internal and external stakeholders. It also involves handling registration income processes and managing incoming correspondence and documentation.
Fines management
- Handle the complete national fines workflow, from receiving notices through post or digital portals to investigation, nomination, payment, and closure.
- Carry out detailed investigations so that each fine is correctly linked to the relevant vehicle or driver.
- Work through and clear older outstanding fines across existing portals.
- Secure statutory declarations where necessary and attend mediation sessions to challenge fines when appropriate.
- Keep records accurate and ensure resolved fines are removed from all portals.
Tolls management
- Administer toll accounts for all business units nationwide, including Linkt, EastLink, and E-Toll.
- Check vehicle lists within each toll account to confirm they are up to date and correct.
- Add incoming stock vehicles to toll systems and remove sold vehicles promptly.
- Track toll activity to spot unusual charges and identify saving opportunities.
Compliance and reporting
- Ensure all fines and toll matters are handled in line with legal obligations and company policy.
- Prepare regular updates covering fine and toll trends, costs, and current resolution status.
- Share practical recommendations to help lower fines and toll-related costs.
Stakeholder engagement
- Work closely with internal teams such as Sales, Operations, and Finance to resolve issues quickly.
- Communicate with outside authorities and toll providers when needed.
General administration
- Manage national registration income processes, including monitoring, reconciliation, and optimisation across all business units.
- Receive, investigate, and route incoming mail and documentation to the right internal contacts.
Required qualifications and experience
The ideal candidate will bring strong attention to detail, sound investigative ability, excellent organisation, and the capacity to manage time effectively while working independently. Good communication and negotiation skills are important, along with confidence using online portals and Microsoft Office. Prior exposure to administration, compliance, or the automotive industry is preferred. Experience with toll systems, fines handling, and State Roads Authorities processes would be an advantage.
