Job Opportunity

The Travel and Logistics Coordinator will oversee all travel and logistical arrangements for pilots and field teams, ensuring smooth, cost-conscious execution of flight operations by coordinating travel bookings, vendors, and related support.

Key Responsibilities

  • Arrange travel logistics including airline tickets, lodging, vehicle rentals, ground transport, and visa support
  • Identify and suggest economical travel options meeting operational requirements and employee preferences
  • Create and circulate comprehensive travel itineraries
  • Keep stakeholders informed regarding travel plans and changes
  • Address travel disruptions such as delays, cancellations, or emergencies
  • Keep travel documentation accurate and produce relevant reports
  • Assist with daily flight and logistics planning
  • Help locate cost-saving Fixed Base Operators (FBOs) to minimize fuel expenses and reduce travel time
  • Contribute to monthly safety communications production and distribution
  • Coordinate logistical support resources for pilots and field crews
  • Manage corporate travel accounts and negotiate with vendors for pricing
  • Review travel expenses ensuring adherence to policies
  • Monitor and control travel budgets
  • Assist in reconciling company credit cards
  • Maintain electronic records in line with travel policy compliance
  • Engage professionally with internal teams, vendors, and customers
  • Complete assigned tasks punctually and accurately
  • Perform additional duties as required to aid operations

Candidate Requirements

  • High school diploma or equivalent mandatory; bachelor's degree preferred
  • At least two years in flight coordination, travel management, logistics, or similar administrative roles
  • Familiarity with Concur Travel & Expense or comparable systems
  • Proficient in Microsoft Office and Google Workspace applications
  • Strong organizational, communication, and customer service skills
  • Ability to prioritize multiple tasks and solve problems under deadlines
  • Valid driver's license with a clean record
  • Authorized to work in the United States
