Role Purpose
The Title Clerk is responsible for handling vehicle title processing, managing supporting documents to complete transactions, resolving discrepancies in lien payoffs, and facilitating auctions and intercompany transactions through ACH payments. The role involves coordinating title corrections and maintaining accurate records for dealership inventory.
Key Responsibilities
- Manage title corrections involving lost titles, powers of attorney, lien releases, and statements of fact, coordinating effectively with internal locations and external vendors to obtain required documentation.
- Monitor auction purchases and sales and administer billing through ACH transfers.
- Facilitate wholesale title and sister store vehicle reassignments.
- Resolve discrepancies related to lien payoffs and initiate payments upon approval.
- Organize and verify paperwork for completeness and accuracy, including vehicle identification details.
- Ensure vehicles are correctly entered into dealer locations.
- Perform weekly reconciliation of select accounts and schedules.
- Post manual journal entries, invoices, and facilitate check preparations and online payments as needed.
- Provide administrative support to management, other Sonic locations, vendors, and staff.
Skills and Qualifications
- High school diploma or equivalent required.
- Experience in automotive dealership operations preferred, specifically in title or auction/wholesale processing (1 to 3 years desirable).
- Proficient with Microsoft Excel and Office; knowledge of CDK software is an advantage.
- Strong interpersonal, email, and verbal communication skills.
- Computer literate with high accuracy in data entry.
- Self-driven with strong organizational and prioritization skills.
- Familiarity with DMV regulations in CO, CA, NC, TX is beneficial.
- Ability to read and understand instructions and information carefully.
- Good judgment and problem-solving skills.
- Must be authorized to work in the USA and able to pass pre-employment screening including background checks, motor vehicle record, drug test, credit report, and possess a valid driver's license with a clean driving record.
- Availability to work flexible hours including some weekends and evenings based on workload.
