About the Role
We are seeking a proficient Tender Executive to manage the end-to-end tender process and provide back office support. This position is based in Kolkata and requires 2 to 7 years of relevant experience. A graduate degree in any discipline is essential, with preference given to B.Com, BBA, or BA. Additional credentials such as a diploma or certification in Administration or Supply Chain will be advantageous.
Key Responsibilities
- Monitor and search for government and private tenders through various portals including GeM, CPPP, State e-Procurement, and other tender platforms.
- Thoroughly review tender documentation and assess eligibility criteria.
- Compile, prepare, and submit tender documents before deadlines.
- Collaborate with internal teams to gather technical, commercial, and statutory documents.
- Upload bids online and maintain a comprehensive record of all submitted tenders.
- Track tender progress including corrigenda, bid openings, and award announcements.
- Handle the preparation of EMD, Bank Guarantee, and other necessary tender documents.
- Support back office activities such as preparing estimates and submitting offers in coordination with the Sales Manager.
- Participate in online offers on GeM and other customer portals and engage in reverse auctions as needed.
- Respond to customer clarifications and inquiries through email, liaising with the Sales Manager.
- Manage post-order activities including sales indent preparation, manufacturing clearances, drawing submissions, and approvals follow-ups.
- Coordinate inter-office communications and follow-up on deliveries and drawings.
- Handle billing submissions and ensure timely follow-ups on payments.
- Prepare monthly reports covering order status, offer status, and payment status as required by management.
- Efficiently manage time to meet project deadlines.
Required Skills and Qualifications
- Experience working with government tenders and fluency in operations using the GeM portal.
- Understanding of electronic tendering processes and related documentation requirements.
- Proficient in Microsoft Office applications including Excel, Word, and PowerPoint.
- Strong verbal and written communication abilities coupled with excellent coordination skills.
- Good analytical skills and meticulous approach to documentation.
- Capability to work efficiently under strict deadlines while maintaining accuracy.
- Familiarity with ERP software is desirable but not mandatory.
