Role Overview
The Telephone Operator acts as a key communication point for the hotel, ensuring calls are answered and routed efficiently while delivering helpful, professional support to guests and internal teams. The position also helps maintain smooth front office communication and upholds guest privacy at all times.
Key Responsibilities
- Respond to incoming calls quickly, politely, and with a professional manner.
- Manage both internal and external calls and transfer them to the correct person, department, or extension.
- Record messages carefully and make sure they reach the intended recipient without delay.
- Share information with guests about hotel facilities, services, and nearby attractions.
- Arrange wake-up calls and ensure they are carried out as scheduled.
- Report faults or technical problems with the telephone system to the IT or maintenance team.
- Keep the hotel staff and department directory current and accurate.
- Assist during emergencies by following established hotel communication procedures.
- Protect the confidentiality of guest and employee information.
- Provide support to Front Office operations whenever needed.
Qualifications
- Prior work experience in a Telephone Operator role.
- Strong verbal communication and telephone etiquette.
- English fluency is required; knowledge of additional languages is considered an advantage.
- Good organizational skills with the ability to handle multiple tasks at once.
- Basic computer literacy and familiarity with telephone systems.
- A pleasant, polished voice and professional presence.
