About the Role
As a Team Assistant at London Block Management, you will be pivotal in supporting our property operations team by delivering comprehensive administrative assistance to portfolio managers. This position demands excellent organizational skills and attention to detail to ensure smooth workflow across various functions.
Key Responsibilities
- Provide dedicated assistance to portfolio managers by managing correspondence, composing letters, and handling service charge and ground rent activities.
- Manage communication channels efficiently, including answering incoming calls, liaising with clients, residents, and contractors, and resolving issues in a timely manner.
- Maintain organizational order by updating spreadsheets, preparing quarterly meeting documents, and ensuring accuracy in record-keeping.
- Oversee contractor management, including requesting quotes, handling tender processes, and monitoring ongoing work progress.
- Facilitate daily operations such as managing keys, mail, meeting room arrangements, while ensuring compliance and professionalism.
Candidate Requirements
- Polished and courteous professional demeanor capable of performing well under pressure.
- Proficient IT skills, particularly in Microsoft Office applications.
- Strong written and verbal communication skills with flawless grammar.
- Highly organized and proactive with excellent time management and prioritization abilities.
- Presentable and client-facing at all times.
- Minimum of 2 years of administrative office experience.
- Experience in the property sector and/or client relations is advantageous but not mandatory.
Work Schedule and Conditions
- Working hours: Monday to Friday, 09:00 to 18:00 (flexible hours can be arranged upon request).
- Occasional evening work may be required based on business needs, compensated with time off in lieu.
- Hybrid working model with three days working from home.
- Annual leave entitlement of 25 days plus bank holidays.
