Job description
About the team
OpenAI’s mission is to develop safe artificial general intelligence that benefits everyone. The company draws exceptional talent from research, engineering, product, policy, and operations. Within Recruiting Operations, the Systems & Enablement group supports the recruiting technology stack, including the ATS, offer-related workflows, and connected tools, with a focus on reliability, governance, and a strong user experience.
About the role
OpenAI is hiring a Systems & Enablement Lead for Recruiting Operations to own high-impact operational support across recruiting processes. The role is responsible for intake, issue triage, enablement, service health, and daily support for recruiter and coordinator workflows, while working closely with People Systems on matters that require configuration changes, controls, or integrations.
This position centers on making recruiting processes practical, scalable, and easy to use. It involves improving request routing, keeping documentation current, ensuring approvals move efficiently, spotting recurring issues early, and turning operational friction into durable process improvements.
Key responsibilities
- Manage recruiter-facing intake and triage for operational support requests across recruiting workflows.
- Build and run support systems such as queues, channel routing, SLA tracking, escalation paths, and service health reviews.
- Own enablement for workflow updates, including documentation, training, office hours, and communication around changes.
- Support offer approvals and other sensitive recruiting processes through clear coordination, follow-through, and exception handling.
- Identify repeated support patterns and drive improvements through process changes, stronger documentation, automation, or escalation to People Systems.
- Define which issues RecOps should resolve directly and which should move to People Systems for configuration, controls, or integration work.
- Work closely with recruiters, coordinators, People Systems, and other stakeholders to improve usability and reliability of workflows.
- Use data and operational signals to monitor service health, set priorities, and reduce repeat work.
- Assess practical AI and automation opportunities that improve support quality, speed, and consistency while preserving controls.
Required experience and skills
- At least 5 years of experience in recruiting operations, HR systems, people technology, or similar roles.
- Hands-on administration experience with an ATS; Ashby experience is strongly preferred.
- Strong understanding of recruiting workflows, offers, and hiring data.
- Ability to combine detailed systems work with end-user support and enablement.
- Excellent communication and stakeholder partnership skills.
- Comfort working in a fast-moving environment that changes often.
- High attention to detail, strong operational discipline, and a commitment to accuracy and consistency.
Nice to have
- Experience supporting global or multi-entity hiring.
- Exposure to compliance-sensitive or highly regulated workflows.
- Experience building training materials and documentation for operational teams.
- Experience working with analytics or downstream HR systems.
Workplace and location
This position is based in OpenAI’s Singapore office and follows a hybrid schedule with three in-office days each week.
