Job description
About the Organization
The International Committee of the Red Cross (ICRC) has been working since 1863 to protect human dignity and reduce suffering linked to armed conflict and violence. Together with Red Cross and Red Crescent partners worldwide, the organization delivers emergency assistance, helps reconnect families, searches for missing persons, and supports people in need without discrimination. It also engages with authorities and armed forces, often confidentially, to seek access to detainees, improve detention conditions, and promote compliance with international humanitarian law, including protection from digital threats.
Role Purpose
The Supply Chain / Customer Service Desk Officer 1 is responsible for handling service requests efficiently so field needs are met on time. The role also ensures that information related to potential and confirmed orders is shared with logistics colleagues and the people requesting support.
Key Duties
- Receive, upload, process, and assign Supply Requests (SRs) in JDE ERP, along with other requests entered in the Service and Task Management (STM) database.
- Oversee the request flow for the assigned area of responsibility (MIU Branch Plant), making sure all request-related information is transmitted and received through STM and properly archived, including communication with all stakeholders.
- Coordinate with the relevant purchaser to confirm sourcing options and the item codes that should be used in orders.
- Check that the right item codes are applied, correct them when needed, and notify the customer; forward requests to WHS or another logistics source when required and track them until shipment arrives.
- Keep requests in staging until sourcing options and lead times are confirmed for all items, including validated Field Requisition Orders, and follow up to ensure they are complete and ready for processing.
- Track scheduled pickup dates and promised delivery dates based on the sourcing method, whether local or regional purchase, warehouse delivery, or upstream supply.
- Review requests with the customer for accuracy before submitting them for approval.
- Create and maintain tracking records for each request, and update and close files as required.
- Monitor upstream orders to determine lead time and expected arrival date so that customers receive clearer updates.
- Follow orders and requests through until every line has been dispatched and delivery is confirmed.
- Handle orders according to the organization chart flow and process internal requests within the applicable threshold.
- Obtain approvals for internal requests before sending them to the purchaser for further processing.
- Keep the JDE Orders Follow-up table accurate and coordinate with other teams to maintain data quality.
- Report any issues, claims, or unusual open-order requests to the logistician daily without delay.
- Regularly inform requesters about the current status of their orders.
Experience and Qualifications
- A university degree or technical diploma with equivalent experience in logistics, administration, or a related area is required.
- Applicants should typically have 3 to 5 years of overall professional experience.
- At least 3 years of prior experience in administration or within a supply chain/logistics function is expected.
- Strong spoken and written English is required, along with proficiency in the local working language.
- Good computer skills and solid knowledge of Microsoft Office are necessary.
- Familiarity with enterprise resource planning software is an advantage.
- A good understanding of supply chain processes is required.
