Job description
Job Overview
This role involves managing and overseeing operations in the Lube Stores, including receiving, issuing, storing, and stock control of finished products like imported lubricants, specialty and non-blendable products. Supervision of team members, ensuring timely supplier deliveries, inventory accuracy, and maintaining ISO9001 quality documentation are key responsibilities. The role also covers planning and overseeing export-related activities for lube and grease products, ensuring efficient receipt, storage, and delivery.
Key Duties
- Manage and supervise subordinate staff performing receipt, storage, and issuance of finished lubricant products.
- Plan and coordinate daily operations regarding receipt, storage, and distribution of various lube, grease, ADNOC Blue, and specialty products for local sales.
- Liaise with toll blending partners, logistics providers, and retail teams to update priorities, discuss availability, and ensure smooth product collection and stock transfers.
- Hold weekly coordination meetings with toll blending partners and team leaders regarding product availability.
- Ensure planned deliveries meet manpower and equipment needs, coordinating with domestic customers and distributors.
- Prevent stock-outs by managing timely stock transfers and overseeing third-party loading/unloading operations.
- Allocate manpower and vehicles based on daily plans and supervise unloading and storing processes, ensuring proper temperature and shading for stored goods.
- Address delivery issues like shortages or breakages by preparing inspection reports, facilitating insurance surveys, and submitting claims.
- Supervise regular physical stock checks on a weekly, fortnightly, and monthly basis.
- Create weekly delivery schedules aligned with domestic sales requirements.
- Assign tasks to domestic dispatch staff to ensure smooth daily receipt, storage, loading, and delivery activities.
- Manage order closures after delivery endorsements and guarantee first-in-first-out (FIFO) handling of lube and grease products.
- Oversee stock management and distribution of sales promotion materials per sales instructions.
- Ensure implementation of material preservation plans for finished stock storage and protection.
- Handle return of finished products as per approved ISO procedures and coordinate arranging finished products on transport vehicles per delivery plans.
- Coordinate storage optimization with third-party warehouses and maintain cycle count accuracy, facilitating product repacking with the plant team.
- Manage contract services including third-party warehouse and logistics for toll blending operations, stock replenishment at other depots, and marine business distribution to sea ports.
- Ensure cleanliness and housekeeping of Lube Stores in collaboration with outsourced service providers.
Inventory Control and Supply Management
- Monitor and regulate stock levels, supervising monthly physical stock counts and cross-checking with computerized records.
- Develop and implement improved stock control processes in conjunction with plant management.
- Coordinate timely replenishment of various lube and grease product stocks with lubricant operations and toll blenders.
- Track slow-moving or non-moving inventory and work with sales teams to reduce excess stock.
- Participate actively in inventory stock-taking actions.
Health, Safety and Environment (HSE)
- Ensure compliance with safety protocols by instructing and training dispatch foremen, store operators, forklift operators, and laborers to minimize risk.
Qualifications and Experience
- Diploma in Electrical, Mechanical, Chemical engineering or a related field; or alternatively, a high school certificate with a minimum of 7 years' relevant experience.
- At least 5 years of relevant work experience including a minimum of 2 years in a supervisory role.
- Proficiency with inventory management software such as MAXIMO, ORACLE, or SAP.
- Strong supervisory and delegation abilities.
- Fluent in both written and spoken English and Arabic languages.
Additional Information
- Responsible for managing resources within the approved financial budget.
- Has direct and indirect reports according to organizational structure.
