Role Overview

The American Heart Association seeks a well-organized and proactive Strategic Initiatives Coordinator for Clinical Studies to join their team. This full-time, benefits-eligible role features a flexible home-based work arrangement, ideally within the eastern time zone. The position is funded through grants expected to last for approximately one year, with potential extensions depending on funding. The coordinator will be essential in supporting the Clinical Studies Team through administrative assistance, overseeing project communications, and managing logistical aspects of clinical research projects. Responsibilities

  • Provide thorough administrative support such as calendar and meeting management for the Clinical Studies Team.
  • Organize, execute, and manage meetings including agenda preparation, logistics coordination, and minute-taking.
  • Create and coordinate communication materials for internal and external audiences ensuring consistency and professionalism.
  • Act as the main contact for meeting inquiries, managing priorities and ensuring timely responses.
  • Support arrangements for both virtual and in-person meetings, handling venue bookings, technological needs, and preparation of materials.
  • Maintain organized records and project files for easy access.
  • Prepare meeting background documents, briefing notes, and presentation content.
  • Assist with on-site meetings, conferences, and high-level volunteer events.
  • Use project management tools to monitor progress, track deadlines, and escalate issues promptly.
  • Manage communications with project stakeholders to ensure effective information flow and timely answers.
  • Produce and circulate status reports to team members and leadership.
  • Keep resource tracking tools, contact lists, and workflow documents up to date.
  • Identify and suggest improvements to administrative and project workflows for greater efficiency.
  • Collaborate with Marketing and Communications teams to promote initiatives and resources.
  • Anticipate and handle competing priorities, flag challenges, and offer solution recommendations.

Qualifications

  • Bachelor's degree preferred in business administration, health sciences, or related areas.
  • At least three years of relevant administrative experience.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with database and project management software.
  • Strong written and verbal communication skills.
  • Excellent organizational and management capabilities.
  • Capacity to work independently with minimal oversight.
  • Ability to multitask and prioritize efficiently in a dynamic environment.
  • Strong attention to detail and problem-solving skills.
  • Experience in health-related fields preferred.
  • Willingness and ability to travel up to 10%, including overnight trips.
