Role overview

This position supports the Chief Client Officer at a late-stage, pre-IPO organization. The Executive Assistant will serve as the CCO’s main day-to-day partner, helping manage executive priorities, coordinating complex client-facing calendars, and keeping communication flowing smoothly across a fast-moving global business. The right person will combine strong administrative execution with a thoughtful, client-first approach and the judgment needed to support senior leadership effectively.

  • Temporary assignment
  • Compensation: $50 per hour
  • Work arrangement: Hybrid, with 3 days per week in the New York City office and 2 days remote

Key responsibilities

  • Manage demanding calendars across internal and external stakeholders, including meetings spanning multiple international time zones.
  • Arrange domestic and international travel using tools such as TripActions/Concur, and update itineraries as plans change.
  • Serve as a trusted point of contact for the Executive Office, handling interactions with clients, board members, investors, and other partners in a polished and professional manner.
  • Organize executive meetings, leadership offsites, and client-facing events; attend selected meetings to document discussion points, capture action items, and follow through on deliverables.
  • Work closely with the US leadership team and administrative peers to strengthen communication, simplify processes, and support office culture.
  • Prepare executive communications, presentations, and briefing materials; update and enhance existing decks in Google Slides or PowerPoint for client and board meetings.
  • Assist with high-priority initiatives by monitoring action items, coordinating special projects, and keeping workstreams aligned across the client-facing organization.
  • Maintain strict discretion when handling confidential information and take initiative to resolve issues before they become larger problems.

Required qualifications

  • At least 6 years of experience supporting C-suite executives, ideally in a fast-growing startup, finance, or client-facing environment.
  • Comfort working in ambiguous, fast-paced, and constantly changing settings while staying composed and solution-focused.
  • Excellent verbal and written communication skills, with the ability to interact effectively with a range of leadership styles and personalities.
  • Strong organizational skills and careful attention to detail, with the ability to juggle multiple priorities and switch gears quickly.
  • Advanced experience with Google Workspace, Slack, and Zoom, plus familiarity with Salesforce or a comparable CRM platform is preferred.
  • Strong executive judgment and presence, including the confidence to offer thoughtful pushback when needed.
  • Collaborative mindset and willingness to work across time zones as part of a global team.
