Role Summary

The Recruitment Specialist will manage end-to-end hiring activities, from sourcing and screening candidates to coordinating interviews, extending offers, and supporting onboarding. The role also involves stakeholder coordination, ATS management, reporting, and continuous improvement of recruitment systems and practices.

Core Responsibilities

  • Oversee recruitment workflows, candidate handling, stakeholder coordination, sourcing, offers, onboarding, and reporting.
  • Partner closely with hiring managers to clarify role requirements and gather complete job details using the company template.
  • Capture all essential information for each role, including the position summary, duties, success metrics, candidate profile, hiring plan, and interview questions.
  • Publish vacancies in the Athena applicant tracking system and use multiple sourcing channels such as job boards, social media, LinkedIn, employee referrals, and personal networks.
  • Work with the Recruitment Marketing Specialist when promotional material is needed for sourcing campaigns.
  • Review candidate pools, administer assessments or coordinate test administration, and conduct final interviews where needed.
  • Prepare candidate profiles for qualified applicants and endorse suitable candidates to hiring managers.
  • Coordinate interview schedules between candidates and hiring managers, send calendar invitations, and help ensure both parties attend on time.
  • Communicate interview outcomes and hiring decisions back to candidates by email.
  • Present job offers to selected candidates, route them for background checks through third-party partners, and move them into onboarding.
  • Maintain ATS records accurately and consistently.
  • Submit regular vacancy status reports and keep recruitment stakeholders informed.
  • Forecast hiring needs across Athena departments and help build a strong employer reputation that attracts passive applicants.
  • Develop and maintain applicant databases, job description libraries, and hiring plans for existing roles.
  • Create basic skills tests for administrative and supervisory roles, as well as tools to assess leadership capability.
  • Draft both rapport-building interview questions and structured behavioral questions for use by final interviewers.
  • Stay current with headhunting methods, executive search practices, and recruitment trends.

Performance Measures

  • Respond with a strong sense of urgency and close tasks efficiently.
  • Manage projects effectively to support business goals.
  • Submit reports and respond to emails promptly.
  • Support strong 90-day retention for new hires.
  • Meet hiring timelines of 30 days for non-working candidates and 60 days for working candidates.
  • Keep cost per hire within the approved budget.

  • Maintain a positive candidate experience throughout each stage of the recruitment process.
  • Ensure hiring managers are satisfied with the recruitment process and outcomes for their roles.
