Role Overview

The Contract Management Specialist role for LAHAB involves comprehensive management of the entire contract lifecycle. This includes contract initiation, ongoing review, execution, modifications, renewals, and closure processes, ensuring strict adherence to company policies, contractual commitments, and governance standards. The role encompasses handling commercial tasks such as invoicing, payment tracking, credit collection, contract documentation, and customer account assistance to maintain smooth commercial operations and maximize revenue collection.

The specialist will manage contract administration, commercial correspondence, invoices, and related paperwork while coordinating with internal teams and clients to ensure timely contract execution, dispute resolution, and billing accuracy. Additionally, this position supports the Commercial Department's business processes aligning with corporate objectives and service quality, aiming to uphold excellent customer satisfaction and responsiveness.

Key Responsibilities

  • Oversee all phases of customer contracts including drafting, review, execution, amendments, renewals, extensions, and contract termination.
  • Track contract validity periods, milestones, deliverables, expiry dates, and compliance obligations.
  • Ensure proper archiving and control of contracts and commercial documents.
  • Maintain client relationships by serving as a primary point of contact providing continuous support and information.
  • Manage incoming sales communications such as emails, faxes, courier packages, and letters related to contracts.
  • Organize and maintain filing systems for sales communications, client records, contracts, agreements, and transaction documentation.
  • Create and update databases to monitor controlled documents within ERP systems (SAP).
  • Follow up on and report progress regarding collections and credit payments.
  • Assist in escorting customer representatives during pre-delivery inspections and audits at production sites.
  • Compile and analyze data to prepare reports that support sales decision-making.
  • Implement and follow business processes concerning document control and contract management.
  • Adhere to standard procedures for contract kick-off and communication with relevant departments and personnel.
  • Manage document numbering and ensure proper logging and destruction of controlled document copies.
  • Maintain formal documents and registers, liaising internally and externally to confirm accurate document categorization and comprehension.
  • Address and resolve internal complaints and order-related issues promptly.
  • Analyze customer service feedback to recommend improvements aiming for enhanced satisfaction.
  • Supervise product exchanges and returns according to contractual terms.
  • Support management initiatives focused on customer service enhancement.
  • Manage distribution of internal and external correspondence, fostering strong relationships with clients and internal teams.
  • Handle storage and disposal of classified documents adhering to project-specific requirements.
  • Perform additional duties as directed by immediate supervisor.

Qualifications and Experience

  • Degree in Business Administration or Commerce.
  • 5-6 years of experience in contract management or a similar capacity.
  • Deep understanding and experience managing contract administration and full lifecycle processes from execution through delivery.
  • Skilled in maintaining confidentiality, proper fulfillment, archiving, and control of sensitive contracts and commercial records.
  • Comprehensive knowledge of contracts ensuring compliance with internal policies, commercial terms, and client expectations.
  • Experience with ERP systems such as SAP or Oracle.
  • Excellent presentation and project management capabilities.
  • Ability to generate regular reports on contract status, invoicing progress, credit collection, and overall commercial performance.
  • Proficient in English and Arabic.

Preferred Experience

  • Previous involvement in contract management roles within the defense sector.
