Job description
Role Overview
As a Spa and Leisure Receptionist, you will be the welcoming face of the spa and recreation area, helping ensure every guest enjoys a smooth and memorable experience. The role combines front-desk guest service, appointment coordination, cash handling, retail support, and general administrative duties, all delivered with a warm and professional hospitality approach.
Key Responsibilities
- Welcome guests and members in a courteous, friendly manner and help with questions, bookings, and information about spa offerings, leisure activities, and hotel facilities.
- Guide visitors who use the outdoor leisure spaces and act as the primary contact for hotel guests and recreation members.
- Coordinate spa schedules carefully, keeping appointment records accurate and communicating updates promptly.
- Provide booking assistance and accurate details for tennis court access, group exercise classes, special events, water sports, membership benefits, and operating hours.
- Handle guest feedback and complaints professionally, investigate issues, and work toward effective resolutions while staying composed during busy periods or emergencies.
- Build strong relationships with guests, members, and colleagues while supporting a positive service culture.
- Promote hotel facilities and services where appropriate, including identifying opportunities to upsell and cross-sell.
- Manage check-ins and checkouts efficiently, verify guest information, collect payments, and issue receipts.
- Answer calls and emails quickly, supporting appointment requests and general spa-related enquiries.
- Help guests choose retail items such as skincare products, spa accessories, and gifts, while explaining product benefits and making suitable recommendations.
- Carry out routine administrative work such as filing, data entry, and maintaining confidential guest records.
- Process cash and card transactions accurately and reconcile the register at the start and end of each shift.
- Keep reception, fitness, retail, and relaxation areas tidy, organized, and well stocked.
- Support daily and monthly sales or service goals and take part in communication meetings and nominated training sessions.
Additional Duties
- Attend spa training sessions, team meetings, and other workplace gatherings as required.
- Assist in other spa operations when requested by management.
- Report maintenance issues to the Spa Manager or Director of Spa.
- Maintain strong working relationships with team members and other hotel colleagues.
- Request and collect stock and supplies in line with minimum inventory levels.
Requirements
- Ability to read and understand safety instructions, operating procedures, maintenance guidance, and related documents.
- Comfort speaking clearly and professionally in front of guests, customers, or team members.
- Capability to handle problems involving several clear factors in standard workplace situations.
