Role Overview
The Shipping & Imports Clerk based in Nairobi will handle import coordination, shipping and receiving tasks, statutory compliance, shipment tracking, and support for warehouse operations. The position requires accurate documentation, strong follow-through, and smooth coordination with suppliers, clearing agents, regulators, transport providers, and internal teams.
Importation and Compliance Duties
- Prepare Import Declaration Forms (IDFs) and submit applications through KenTrade, New KenTrade, ICMS, and other applicable trade systems.
- Work with regulatory and statutory bodies to obtain approvals and meet import compliance requirements, including KEPHIS, KDB, PPB, RPB, the Directorate of Veterinary Services, KEBS, Nairobi City County, and other agencies where necessary.
- Coordinate with clearing and forwarding agents to support fast customs processing and cargo release.
- Track shipments with suppliers, including schedules, supporting documents, and expected delivery timelines.
- Work out marine insurance needs for incoming shipments.
- Prepare and confirm duty and tax calculations.
- Assess KEBS Import Standardization Mark (ISM) sticker requirements and coordinate purchase with the Administration team.
- Keep import files accurate, well organized, and easy to retrieve.
Shipping and Receiving Duties
- Manage day-to-day shipping and receiving operations.
- Check incoming and outgoing shipments against the relevant paperwork.
- Produce shipping documents and maintain updates in company systems.
- Coordinate with transport providers, suppliers, clearing agents, and internal departments to resolve shipment-related issues.
- Track shipment progress and share updates with the appropriate teams in a timely manner.
Warehouse and Inventory Support
- Pack, label, and prepare goods for dispatch according to company procedures.
- Confirm item quantities, product condition, and documentation accuracy.
- Help maintain orderly inventory placement and warehouse organization.
- Support stock-taking and inventory reconciliation exercises.
- Escalate any damaged, missing, or inconsistent stock without delay.
- Follow all safety, quality, and operational requirements.
Qualifications and Experience
- A Diploma or Degree in Supply Chain Management, Logistics, Procurement, Business Administration, or a related discipline.
- At least 2 years of experience in shipping, import operations, logistics, warehousing, clearing and forwarding, or a similar function.
- Practical understanding of Kenyan import processes, customs rules, and statutory compliance.
- Hands-on exposure to KenTrade, ICMS, ERP tools, inventory systems, or comparable platforms.
- Good knowledge of shipping/receiving procedures and related documentation.
- Strong computer literacy, especially in Microsoft Office and Excel.
- Excellent communication and stakeholder coordination skills.
- High levels of accuracy and attention to detail.
- Strong planning, problem-solving, and time management ability.
- Comfortable working in a fast-paced environment while maintaining quality and compliance standards.
