Birch Mountain Enterprises is looking to add an experienced Service Writer right away for its Fort McKay Incubator Park site in Fort McKay First Nation, near Fort McMurray, Alberta. This position focuses on keeping maintenance shop coordination running smoothly, supporting management with communication, scheduling, records, work orders, and process improvements so internal and external customers receive dependable service.

Key duties
- Keep the maintenance shop operating in an organized flow by handling calls from site and coordinating with the Shop Foreman and/or Maintenance Manager.
- Support planning for maintenance work both in the field and in the shop.
- Track and maintain complete repair and maintenance records.
- Improve maintenance workflows to strengthen customer satisfaction.
- Prepare cost estimates, including required parts and estimated repair time.
- Help coordinate repair scheduling with the Maintenance Manager and Shop Foreman.
- Communicate cost, parts, labor, and technician information to the Shop Foreman and Maintenance Manager as it comes in.
- Create and update work orders with complete job details, including the type and reason for the repair.
- Train technicians on the work order system.
- Check warranty applicability and escalate possible warranty coverage to management.
- Support the maintenance software system by creating and assigning work orders, training users, and identifying system issues.
- Prepare reports for management, including equipment downtime reporting.
- Spot operational gaps and help resolve them.
- Follow safe work practices and support the safety management system.
- Keep the work area clean and safe.
- Maintain the company vehicle as needed, including fueling and oil changes.
- Enter accurate information for reporting purposes.
- Handle administrative tasks as required.
- Take on other duties assigned by the Maintenance Manager.
Skills and strengths needed
- Strong analytical thinking and problem-solving ability.
- Clear communication and solid organizational skills.
- Excellent time management, accuracy, and attention to detail.
- Comfort using technology, including Microsoft Office, SharePoint, and TAG.
- Dependability and willingness to work overtime when needed.
- Ability to manage changing priorities and multiple deadlines in a fast-moving environment.
- Capability to work independently with limited supervision and also contribute effectively in a team setting.
- Positive attitude and strong collaboration with coworkers and customers.
- Good understanding of heavy-duty mechanical work, especially highway equipment.
Qualifications
- 3 to 5 years of experience as a Service Writer or in a similar role.
- 3 to 5 years of administrative experience.
- Previous hands-on familiarity with heavy-duty and automotive mechanics.
- Valid Class 5 driver's licence with a clean driving abstract.
- OSSA certification and CSTS certification.
- Proficiency with Microsoft Office applications.
- Experience with maintenance software is considered an advantage.
