Role overview
The Service Contract Specialist is an important part of the Service Back-Office function and owns the full lifecycle of service contract handling. The position focuses on preparing and renewing agreements on time, protecting and improving contract profitability, and keeping all contract records accurate and up to date in the system.
What you will do
- Analyze service contract profitability and prepare review materials using Power BI.
- Compile profitability summary cards for management review.
- Draft proposal documents for customer tender portals and submit them on time.
- Share contract proposals with customers and follow through on clarifications or revisions.
- Examine customer master service agreements and terms to protect the company’s interests.
- Check that agreements align with internal policies and contract rules.
- Partner with the Senior Service Contract Specialist on proposals, dispute handling, and contract-related issues.
- Set pricing for service agreements according to product family and contract tier.
- Prepare monthly service presentation slides.
- Produce monthly KPI reports covering renewal performance, profitability, and trends.
- Create warranty and service contracts in SAP, manage maintenance plan execution, and file hard copies.
- Track expiry dates for warranty and service agreements.
- Update SAP records when equipment is decommissioned and keep supporting documentation current.
- Act as an SAP key user and service contract subject matter expert within the team.
- Support the Service Coordination team when needed.
- Handle additional tasks assigned by the line manager or the company.
Experience and education
- At least 3 to 5 years of experience in a service coordinator or customer service role.
- A diploma in any field is required.
Skills and capabilities
- Strong written and verbal communication.
- Solid organizational and prioritization ability.
- Comfortable operating in a fast-moving environment.
- Ability to work both independently and collaboratively.
- Working knowledge of MS Office tools.
- Experience with SAP is an advantage.
- Good analytical and reporting skills.
- Attention to detail in contract administration.
- Stakeholder coordination across internal and external teams.
Working conditions and expectations
The role requires regular use of computers, telephones, and related office equipment. It also calls for adherence to environmental awareness, local safety regulations, and all applicable health and safety policies, including the use of personal protective equipment when necessary. Extended working hours may be needed during peak business periods. Travel is not required.
