Job Overview
We are searching for a seasoned Senior Payroll and Benefits Specialist to oversee complete payroll operations and benefits management for our US and international workforce. This role demands direct handling of US payroll, critical oversight and approval of international and Employer of Record (EOR) payrolls, along with comprehensive benefits program administration worldwide.
Key Duties
- Manage end-to-end US payroll on a semi-monthly basis, including wages, bonuses, commissions, equity transactions, off-cycle payrolls, and terminations.
- Keep precise payroll records for multi-state jurisdictions, handling registrations, rates, and new location setups.
- Ensure compliance with payroll taxes, including filings, amendments, notices, year-end processing, garnishments, and deductions.
- Collaborate with accounting to support payroll journal entries and monthly financial closes.
- Prepare certified payroll reports for public and government-funded construction projects adhering to Davis-Bacon and prevailing wage laws, maintaining accurate project-level records.
- Work closely with project and field teams to verify hours, classifications, and project codes for compliance and reporting.
- Administer international payroll processed by local providers and EOR platforms, reviewing calculations, statutory contributions, and resolving invoice discrepancies.
- Operate benefit programs in the US and abroad, including enrollment, life events, reconciliations, compliance with ERISA, ACA, HIPAA, COBRA, and statutory reporting.
- Maintain payroll and benefits controls, documentation, and audit preparedness across various review types.
- Develop and update standard operating procedures and pursue automation and process enhancements to improve payroll and benefits workflows.
- Manage leave of absence tracking and related payroll processing per state regulations, including coordination with People Operations and compliance with paid leave programs.
Candidate Requirements
- Minimum of 7 years in payroll with at least 3 years managing multi-state US payroll operations.
- Experience in reviewing international payroll conducted by in-country providers or EOR platforms.
- Hands-on benefits administration experience including carrier invoice reconciliations and 401(k) plan management.
- Thorough knowledge of US payroll tax laws and wage-hour standards along with ERISA, ACA, and COBRA compliance.
- Proficient with payroll, human resource information systems, and EOR platforms.
- Advanced skills with Excel or Google Sheets for handling complex data reconciliations.
- Keen attention to detail with strict confidentiality and a strong focus on controls.
Preferred Qualifications
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC).
- Benefits certification like CEBS.
- Experience facilitating payroll through periods of rapid expansion or international growth.
- Familiarity with equity compensation payroll, including RSUs and stock option exercises.
- Exposure to financial statement and retirement plan audits.
Compensation and Benefits
The anticipated salary range is from $90,000 to $110,000 annually, depending on experience, skills, and work location.
