Role Purpose
The Senior Parts Advisor plays a critical role in delivering outstanding customer service to both retail clients and workshop personnel. Their primary function is to accurately identify customer needs, suggest appropriate product solutions, and process orders efficiently.
Key Responsibilities
- Provide friendly, professional assistance to customers in selecting necessary parts.
- Inform customers of complementary products and current promotions to ensure full product awareness.
- Handle incoming calls by offering price quotes and relevant information.
- Verify accuracy of body shop estimates and ensure parts ordered align with pricing and requirements.
- Deliver exceptional service to both internal teams and external customers.
- Retrieve and fulfill orders from inventory efficiently.
- Alert the parts manager regarding out-of-stock items requiring prompt attention.
- Sourcing unavailable parts externally and place emergency orders if needed.
- Communicate receipt of special orders to service advisors and customers.
- Notify the body shop regarding the arrival and delivery schedule for parts.
- Prepare orders for body shop delivery, ensuring proper labelling with customer details and job reference.
- Follow up rigorously on back-ordered items.
- Maintain organization of will-call and back-order inventories, returning or restocking items as necessary.
- Replenish assigned stock regularly.
- Ensure all internal part requests are accurately billed on service repair orders.
- Handle payment processing from retail customers, secure credit approvals when needed, and provide signed charge sales documentation.
- Issue credits for returned parts while validating original purchase records.
- Manage the issuance and tracking of shop tools loaned to technicians.
- Maintain orderly records of repair orders, invoices, insurance estimates, and special orders.
- Coordinate daily shipments, deliveries, or pickups.
- Proactively contact assigned accounts by phone to solicit business.
- Keep all customer service areas clean, organized, and operating efficiently.
- Conduct daily cleaning of computer terminals and printers.
- Engage actively in all training sessions offered.
- Stay informed on new products and updates.
- Assist the parts manager with monitoring lost sales through tracking programs.
- Maintain a professional personal appearance and demeanor at all times.
Candidate Profile
- Demonstrates excellent customer service and communication skills.
- Highly organized and detail-oriented.
- Proficient with computers; experience with AutoVue software is advantageous.
- Prior experience as a parts advisor is favorable.
- Genuine enthusiasm for the automotive industry and alignment with Toyota's values.
- Strong work ethic, self-driven, and motivated.
- Ability to balance multiple tasks, meet deadlines, and strive to exceed expectations.
- Adaptable, able to work efficiently under pressure.
- Confident verbal and written communicator.
- Must hold a valid driver's license.
