Role overview
Impact Association Management is hiring a Senior Meeting Planner to support a portfolio of association clients with end-to-end meeting, conference, and webinar planning. This is a remote-first position open to candidates across the United States, with regular collaboration across internal teams and client stakeholders.
The role is designed for someone who can work independently, stay highly organized, move quickly between priorities, and contribute ideas that improve attendance and revenue. You will oversee small to mid-sized events, typically lasting 1 to 3 days and serving about 50 to 100 attendees, with sponsors, a limited number of exhibitors, poster sessions, keynote and breakout programming, and off-site receptions.

Core responsibilities
The Senior Meeting Planner is responsible for delivering the complete scope of event services assigned to each client. Depending on the client structure, the role may function as the main day-to-day contact and may also operate under a Meeting Director.
- Own the full event timeline, including planning schedules, deadline monitoring, and status reporting.
- Handle all event logistics from planning through onsite delivery and post-event wrap-up, including surveys and budget reconciliation.
- Manage continuing education workflows such as CE tracking and submission, abstract intake, speaker coordination, and moderator support.
- Coordinate volunteers and provide any needed training.
- Keep procedures current and maintain thorough records of completed work.
- Create and run marketing and communication plans that drive event awareness and participation.
- Prepare, format, and circulate event content and client communication materials.
- Review and coordinate client mailings.
- Build, test, and administer event registration systems.
- Recommend and support technology tools used for meetings, communications, and content delivery.
- Enter and manage content on websites, databases, and learning platforms.
- Support committees through communication, meeting preparation, and facilitation.
- Manage speakers end to end, including outreach, content collection, and onsite assistance.
- Oversee sponsor communications, deliverables, outreach, and onsite requirements.
- Guide assigned team members such as Meeting Coordinators and Meeting Interns when needed.
- Keep clients and internal teams informed about priorities, progress, and upcoming work.
- Build and execute strategies aimed at increasing attendance and revenue.
- Work with clients and internal partners to align event execution with business goals.
- Travel as required to attend client events and professional development conferences during the year.
Requirements
Applicants should bring substantial hands-on meeting management experience, a bachelor’s degree, and the ability to stay available during the company’s core working window.
- 5 to 8 years of professional, full-scope meeting management experience is required.
- A bachelor’s degree is required.
- Experience with professional or trade associations is preferred.
- International meeting planning experience is preferred.
- Experience managing scientific conferences, including abstracts, reviews, poster coordination, and scientific programming support, is preferred.
- You must be consistently available from 9:00 am to 3:00 pm Central Time.
Compensation
The annual salary range for this role is $58,000 to $72,000.
