Role Overview

The Senior Manager of Coaching Operations & Academy will enhance operational systems, workflow processes, and training frameworks for the Coaching Department. Reporting to the Senior Director of Coaching, this role focuses on infrastructure and process optimization rather than direct care delivery. Collaborating closely with Coaching Leadership and partnering with Product and Technology teams, you will design workflows, manage the Coaching Academy onboarding pipeline, and facilitate integration of AI and automation tools. This role requires leadership experience in operational management beyond direct service delivery.

Key Responsibilities

  • Collaborate with Coaching leadership to develop streamlined workflows that minimize administrative challenges and boost care delivery efficiency.
  • Maintain coaching tools and resources to ensure uniform and effective platform use across teams.
  • Identify and resolve workflow inefficiencies to support consistent quality care.
  • Guide and manage an operational lead, providing clear oversight and fostering their professional growth.
  • Manage the Coach Training Academy and onboarding process to ensure timely readiness and smooth transition to independent coaching practice.
  • Develop and refine learning paths, advanced skills training, and leadership development initiatives for coaches and managers.
  • Monitor skills gaps and performance trends to enhance scalable training resources and ongoing learning programs.
  • Sustain Academy capacity through continuous coach development, refresher courses, and progression pathways during hiring lulls.
  • Create and maintain performance dashboards enabling Coach Managers to monitor team metrics effectively.
  • Analyze data including audits, engagement, and workflows to detect issues and evaluate impact of process improvements.
  • Provide operational data for workforce planning and capacity management.
  • Work with Product and Tech teams to prioritize AI and automation tools reducing administrative burden on coaches.
  • Translate technical changes into actionable processes and support coaching teams through these transitions.

Qualifications and Experience

  • 3 to 5+ years in progressive management and operations in digital health, behavioral coaching, or care delivery, focusing on workflow and training optimization.
  • Effective collaborative leadership skills, aligning strategic priorities with daily operations and building consensus without direct authority.
  • Expertise in analyzing and redesigning complex workflows to enhance efficiency and quality.
  • Proven ability to develop operational playbooks into practical training and development programs.
  • Strong analytical skills with experience using dashboards, utilization statistics, and performance data to guide decisions.
  • Knowledge of evidence-based behavioral change theories and experience within youth and family support contexts.
  • Understanding of coaching metrics, operational excellence, and accountability management.
  • Bachelor's degree in Psychology, Counseling, Social Work, or related behavioral health field required; Master's degree preferred.
  • Commitment to HIPAA compliance and handling confidential information with discretion.

Compensation

The anticipated salary range for this position is $74,000 to $82,500 annually, with starting salary individually determined based on qualifications.
