Role Overview
The Senior Library Officer plays a pivotal role in overseeing administrative and operational functions within the library to aid the teaching, learning, and research activities of the wider SUSS community.
Key Responsibilities
- Manage library operations and circulation, including opening and closing procedures, loan handling, renewals, and reservations.
- Staff the service desk to manage loan and reservation requests and respond to inquiries regarding collections, services, facilities, and spaces, including during weekday evenings and weekends.
- Engage proactively with library users to understand their needs and identify service or collection gaps, providing feedback to librarians.
- Ensure proper maintenance and functioning of library equipment and spaces.
- Train and supervise part-time, contract workers, and student assistants in daily library operations.
- Provide prompt support during emergency or incident situations within the library premises.
- Organize and prepare staff duty schedules for counter operations.
- Administer the Scan & Deliver service, processing requests, scanning materials, and fulfilling orders timely in compliance with copyright rules.
- Coordinate inter-library loans, oversee book collections, monitor loans, and maintain accurate records.
- Conduct collection maintenance such as deselection, disposal, stocktaking, shelf-reading, and inventory management.
- Compile and update collection usage data and statistics.
- Support departmental meetings by providing secretarial assistance.
- Manage library common email accounts.
- Assist with library outreach through programmes, exhibitions, and promotional events.
- Create and design simple promotional materials using graphic design tools like Canva.
- Coordinate distribution of library collaterals and notices to relevant departments.
- Undertake any other departmental or organizational tasks as required.
Requirements
- Possess a recognized Diploma qualification.
- Have at least 2 to 3 years of relevant work experience, ideally in a library environment.
- Demonstrate the ability to work both independently and collaboratively within a team.
- Exhibit strong service orientation and attention to detail.
- Possess effective communication and interpersonal skills.
- Capable of multitasking with efficient time management.
- Familiarity with Microsoft Office applications (Word, PowerPoint, Excel) and graphic design tool Canva.
