About the Role
The Queensland Family & Child Commission invites applications for an experienced and highly organized Senior Executive Officer to provide dedicated support within the Office of the Principal Commissioner. This role demands adept handling of confidential executive assistance, managing correspondence and inbox, coordinating key information flows, and ensuring urgent matters receive immediate attention.
As a vital member of the team, you will juggle competing priorities, facilitate smooth executive coordination, and assist in achieving the Commission's strategic objectives. Working within a fast-paced setting, you will foster strong relationships with internal colleagues, the Minister's Office, government agencies, and other stakeholders. This position is perfect for a proactive individual with exceptional communication, organizational, and stakeholder management capabilities committed to advancing outcomes for children and families in Queensland.
Key Responsibilities
- Deliver high-level confidential secretarial and executive support to the Principal Commissioner, managing diaries, correspondence, travel arrangements, and meetings efficiently.
- Provide discreet secretariat services for governance and advisory groups, including calendar management and preparation of briefs, speeches, and talking points for key stakeholder engagements.
- Support the preparation of Cabinet submissions, estimates briefs, parliamentary questions, ensuring adherence to relevant timelines and protocols.
- Coordinate the timely and accurate drafting of briefs and correspondence while monitoring progress and follow-ups.
- Establish and maintain professional relationships with executive staff from Ministers, Directors-General, private entities, and NGOs, safeguarding the Commission’s reputation.
- Collaborate with organizational executives and employees to coordinate workflows, processes, and performance across the Commission.
- Maintain a comprehensive understanding of the Commission’s functions, services, and protocols to inform senior management of evolving issues.
- Lead consultation and implementation of changes related to Executive Assistant services and processes within the Commission.
- Identify and implement enhancements to administrative systems within the Principal Commissioner’s office to boost operational efficiency.
- Maintain knowledge of protocols involving government, parliamentary, and other official interactions, ensuring proper procedures for meetings, events, and acknowledgments.
- Exemplify discretion, integrity, and diplomacy at all times.
- Promote a workplace culture valuing diversity and inclusion through workforce representation that reflects community diversity.
- Understand that applications will be considered for up to 12 months for similar vacancies.
- Comply with mandatory background checks and disclosures as required by the Public Sector Act 2022.
