Established in 1998, MCEC has dedicated over 26 years to serving military-connected families, educators, and youth professionals. Recognized nationally, MCEC leads efforts in military child education, student transitions, parent engagement, professional growth, and advocacy. Currently, the organization is undergoing transformation to modernize infrastructure, enhance systems, expand its reach, and build for the future as a remote-first entity.
Role Overview
The Senior Executive Assistant to the President & CEO is a crucial, high-trust position responsible for ensuring the CEO's office operates efficiently with precision, preparation, and consistent execution. This role involves managing schedules, organizational rhythms, details, and follow-ups that enable the CEO to work with clarity and momentum. Unlike traditional administrative roles, this position suits candidates energized by fast-paced, remote environments where priorities frequently evolve and attention to detail alongside follow-through is vital. Experience in startup, growth-stage, transformation-stage, or mission-driven organizations is advantageous.
Key Responsibilities
- Oversee the CEO’s calendar with clear judgment, prioritizing strategic alignment.
- Prepare detailed materials and briefing notes for meetings, ensuring meetings are purposeful with clear agendas and follow-up.
- Evaluate and triage meeting requests based on urgency, reputational considerations, board and military stakeholder importance, donor relations, and alignment with CEO priorities.
- Coordinate all travel arrangements and logistical details related to the CEO’s engagements.
- Maintain systems to track CEO commitments, decisions, deadlines, and follow-ups, ensuring transparency and timely updates.
- Manage BoardEffect and related tools to support board operations, including materials preparation, scheduling, attendance tracking, and onboarding new board members.
- Draft standard CEO communications such as meeting follow-ups, stakeholder correspondence, thank-you notes, and event messages, maintaining an appropriate tone and accuracy.
- Coordinate CEO participation in external engagements, including speaking events, partner meetings, and donor interactions, managing logistics and ensuring follow-up items are addressed.
- Operate effectively within a fully remote environment, utilizing digital collaboration tools like Google Workspace, Slack, Asana, Zoom, BoardEffect, CRM systems (Raiser’s Edge preferred), and AI-enhanced productivity software.
- Apply deep understanding of military culture, protocol, titles, acronyms, and hierarchies to facilitate professional and respectful scheduling, communications, and event preparation.
Success Indicators Within 90 Days
- CEO’s calendar is streamlined, strategically arranged, and manageable.
- Meetings consistently have clear agendas, contextual materials, and structured follow-ups.
- CEO is thoroughly prepared for all internal, board, partner, donor, and external meetings.
- BoardEffect platform is current, organized, and actively utilized.
- Board committee meetings are well-supported with accurate notes and timely communication of follow-ups.
- New board member onboarding processes are smooth, organized, and uniform.
- All CEO commitments are effectively monitored and completed.
- An Office of the CEO Standard Operating Procedure (SOP) is initiated and continuously improved.
- Digital tools are leveraged to reduce workload friction and optimize remote operations.
- External requests and stakeholder engagements are managed professionally with clear ownership.
