Overview
This part-time, fully remote position is exclusively available to candidates based in the United States. The role is with Hey Girl Friday, an Executive Assistant agency that connects skilled, efficient, and innovative Executive Assistants (referred to as Client Advocates) with Clients, providing flexible, meaningful work engagements.
The Client Advocate's mission is to help Clients regain time, optimize business operations, and fuel growth by anticipating needs, managing priorities efficiently, and continuously expanding their contributions to add value. This role embodies Hey Girl Friday's standard for excellence in Executive Assistance.
Primary Responsibilities
- Maintain operational discipline by accurately completing tasks, enhancing workflows, and managing logistics effectively.
- Organize calendars, projects, and priorities without errors and uphold strict confidentiality regarding Client information.
- Communicate with clarity, professionalism, and active listening skills.
- Demonstrate initiative by anticipating needs, proactively addressing problems, and taking ownership of additional duties.
- Adapt gracefully to changing priorities and maintain composure under stress.
- Exercise sound judgment and problem-solving through analytical and critical thinking.

Qualifications
- Must reside in the United States.
- Minimum of 5 years experience as an Executive Assistant or in Operations.
- At least 3 years of remote work experience.
- Availability to work weekdays (Monday through Friday) during business hours in the local time zone, dedicating a minimum of 20 hours weekly (around 4 hours daily).
- Commitment to work with Hey Girl Friday for at least one year.
- Proficiency with Google Suite and Microsoft 365 applications.
- Experience using multiple Project Management software tools.
- Possess a suitable home office setup including a Mac or PC (with webcam) and stable internet and phone connectivity.
- Strong ability to prioritize daily workload effectively.
- Excellent verbal and written communication skills.
- Bachelor's degree preferred but not mandatory.
Expected Outcomes
- Ensure perfect calendar and time management with no conflicts or missed deadlines.
- Deliver meeting preparations such as agendas and notes at least 24 hours ahead.
- Optimize recurring calendar processes within the first 60 days.
- Promptly triage, prioritize, respond to, or draft emails within 24 hours.
- Maintain external communications that are accurate and professional with a 95% error-free rate.
- Complete follow-ups from meetings and projects on or before deadlines.
- Implement at least one workflow or process improvement quarterly.
- Execute administrative tasks with zero critical errors and complete recurring tasks punctually.
- Meet project and task deadlines consistently, resolving potential obstacles proactively.
- Actively take on new responsibilities without prompting.
- Coordinate multi-party projects and meetings flawlessly.
- Monitor and maintain client and team satisfaction regularly, applying corrective actions as necessary.
Position Details
Work hours depend on the agreement with Clients; commitments are arranged in hourly weekly blocks from Monday to Friday. Candidates specify desired weekly hours, which Hey Girl Friday will endeavor to accommodate.
