Overview
This role involves delivering comprehensive administrative, strategic, and communication support to C-level executives and their direct reports as necessary. The professional represents the executive team in interactions with external parties, manages correspondence priorities, and maintains accuracy and attention to detail. A high level of discretion and professionalism is essential to handle confidential matters.
The position is based at 6688 N. Central Expressway, Dallas, TX 75206, with work hours Monday through Friday from 8am to 5pm.
Key Responsibilities
- Organize and oversee complex calendars for executive leadership, coordinating meetings, calls, speeches, presentations, and appointments with consideration of business priorities.
- Coordinate travel plans for executives, including booking flights, arranging transportation, hotel accommodations, and preparing detailed travel itineraries.
- Manage inbound communications such as phone calls and correspondence, crafting memos, letters, and emails confidentially and diplomatically.
- Review and facilitate requests for executive speaking engagements and public appearances.
- Support the board of directors by assisting with meetings, conference calls, and preparing board materials.
- Handle travel arrangements for board members including air, ground, and lodging logistics.
- Utilize board portal platforms and adapt to evolving technologies to manage board document workflows efficiently.
- Maintain and update both electronic databases and physical filing systems.
- Prepare reports and charts with graphical elements using appropriate software tools.
- Perform additional duties as assigned.
Qualifications
- Required minimum education is a High School Diploma or equivalent; a Bachelor's Degree is preferred.
- Administrative professional certifications are valued and encouraged.
- Experience in clerical roles, accurate typing, and proficient use of modern office technologies is mandatory.
- Preferred experience includes at least five years in administrative assistance, with a minimum of two years serving as an executive assistant to C-Suite executives.
- Strong oral and written communication skills in English, including active listening, are necessary.
- Proficient intermediate skills with technology, particularly Microsoft Office suite including Word, PowerPoint, SharePoint, and Excel.
- On-site attendance is critical except for designated full-time remote roles, to meet organizational objectives such as supervision, teamwork, and task completion.
- Occasional remote work to handle temporary personal needs or emergency situations does not exempt the requirement for regular on-site presence.
