Job description
Role Overview
The Senior Executive Assistant will be responsible for managing the executive office, providing comprehensive support to a designated executive at Essa Al Sulaiti Law Firm in Doha, Qatar. This role demands handling a variety of critical tasks such as calendar coordination, meeting organization, confidential correspondence management, and extensive document preparation in both Arabic and English.
Key Responsibilities
- Oversee daily operations of the executive office and assist the executive with prioritizing tasks.
- Manage executive calendars including appointments, meetings, and travel plans ensuring effective scheduling.
- Handle sensitive communication and confidential information with utmost discretion.
- Draft, proofread, and follow up on professional correspondence, reports, presentations, and business documentation in Arabic and English.
- Organize meetings by preparing agendas, relevant documentation, and support materials.
- Record precise meeting minutes, maintain action item logs, and track follow-ups to ensure deadlines are met.
- Coordinate communication across management, departments, clients, consultants, and external parties.
- Maintain confidential electronic and physical filing systems with proper version control and easy retrieval.
- Assist in preparing policies, reports, dashboards, and project coordination efforts supporting institutional initiatives.
- Liaise with auditors, consultants, suppliers, service providers, as well as government and non-governmental organizations when necessary.
- Uphold confidentiality in all executive-level matters and perform additional duties as assigned by management.
Candidate Profile and Qualifications
- Possession of a Bachelor's Degree in Business Administration, Law, Management, Finance, Accounting, or related disciplines.
- A minimum of five years of relevant professional experience, with at least three years supporting senior executives or executive management.
- Fluent proficiency in both written and spoken English and Arabic.
- Demonstrated expertise in managing executive correspondence, organizing meetings, and preparing accurate meeting minutes.
