As business growth continues, this position marks the creation of their inaugural dedicated Executive Assistant role to develop the executive support function from the ground up.

Primary Responsibilities
- Manage the President’s complex calendar, email inbox, priorities, and executive correspondence
- Arrange meetings, travel plans, presentations, speaking engagements, and prepare executive materials
- Monitor strategic projects, commitments, deadlines, and ensure follow-ups across multiple businesses and stakeholders
- Act as the central liaison for executive relationships, vendors, leadership teams, and external partners
- Develop and maintain project management tools, executive dashboards, and operational workflows
- Document procedures, standard operating protocols, templates, and knowledge bases to promote operational consistency
- Convert executive concepts into actionable plans, presentations, and strategic outputs
- Support the integration of new systems, automation, AI-based workflows, and organizational initiatives
- Coordinate personal scheduling, travel, appointments, and household arrangements
- Manage personal vendors, special projects, gifting, and family milestones
- Organize personal recordkeeping and administrative workflows
- Facilitate communication and scheduling for family office, investment, and community engagements
- Assist with administrative tasks related to investments, banking, reporting, and professional advisors
- Support executive participation in civic groups, advisory boards, and networking activities
- Maintain documentation and follow-up on financial and relationship management responsibilities
Required Qualifications
- Minimum of five years experience supporting a CEO, founder, president, entrepreneur, or senior executive in an Executive Assistant or similar capacity
- Proven ability managing intricate executive calendars, communications, and strategic priorities
- Strong skills in project management, organizational systems, and workflow coordination
- Proficiency with Microsoft 365 suite
- Experience using project management platforms such as Monday.com, Jira, or equivalents
- Familiarity with CRM tools, automation utilities, and AI-driven productivity solutions
- Bachelor’s degree preferred
- Authorization to work in the United States without sponsorship is required

- Work setting: Onsite, full-time
- Working hours: Monday through Friday, 8:00 AM to 5:00 PM EST, with flexibility as needed
