Role overview
The Senior Executive Assistant will provide high-level administrative support to one senior leader or a small leadership group. The role involves managing communications, calendars, meetings, travel, and a range of office coordination tasks for a large financial services environment in Dubai.
Key responsibilities
- Support a C16-level manager directly and provide broader assistance to the department when needed.
- Maintain busy calendars for senior leaders and keep schedules organized.
- Coordinate meetings, appointments, receptions, and conference calls end to end.
- Draft, review, and prepare meeting materials and correspondence as required.
- Help create and edit presentations, spreadsheets, and other business documents.
- Plan travel logistics and share travel schedules and agendas with the relevant parties.
- Prepare expense claims, verify them, and track submission status in the travel and entertainment expense platform.
- Place supply orders and process vendor invoices through the procure-to-pay workflow.
- Handle virtual requests and ensure follow-up until completion.
- Support ad hoc reporting and special projects when assigned.
- Coach, train, or guide other administrative team members when needed.
- Make sound risk-aware decisions by following company policy, legal and regulatory requirements, ethical standards, and escalation procedures to protect the firm, its clients, and its assets.
Requirements
- Prior administrative or office support experience, ideally in a large and complex financial services organization or a similar setting.
- Strong command of Microsoft Office applications.
- Clear and professional written and spoken communication skills.
- Ability to learn new systems quickly and work comfortably across different platforms.
- Self-driven, organized, and attentive to detail.
Education
A bachelor’s or university degree, or an equivalent level of practical experience, is required.
