Role Overview
We are searching for an organized, detail-focused Senior Event Marketing Coordinator to assist in managing our global event initiatives. This position involves collaborating closely with Event Marketing Managers to oversee the operational aspects of multiple event types including customer and internal conferences, field events, sponsorship engagements, webinars, and hospitality programs—from initial coordination to onsite execution. The role demands a candidate who excels in a dynamic environment, ensuring operational precision and delivering exceptional experiences for attendees.
Key Responsibilities
- Provide support to several Event Marketing Managers on events such as customer conferences, sponsorships, webinars, field events, hospitality functions, and internal gatherings.
- Handle event-related logistics including registration procedures, communication with attendees, coordination with speakers, venue and travel arrangements, shipping, and onsite event management.
- Create detailed project plans, production timelines, run-of-show guides, and event collateral to guarantee smooth program delivery.
- Assist with onsite staffing needs, manage vendor relationships, and enhance attendee experiences to ensure flawless event operations.
- Oversee the go-to-market events calendar while managing related timelines, milestones, and cross-functional deliverables.
- Maintain comprehensive project documentation including budgets, purchase orders, invoices, and conduct reconciliation processes.
- Facilitate post-event analytics by gathering attendance data, organizing participant feedback, and preparing operational summaries.
- Manage event technology tools such as registration platforms and operational resources.
- Coordinate swag inventory, vendor sourcing and procurement, contract management, and ensure availability of event materials.
- Collaborate with multiple departments including Marketing, Sales, Customer Success, Product Marketing, Brand, and Operations to communicate progress and keep projects aligned.
- Work closely with external agencies and vendors to secure effective event execution.
- Create and refine templates, playbooks, tracking systems, and standardized procedures aimed at boosting operational efficiency across the Events team.
Qualifications
- Minimum of two years’ experience in event coordination, conference management, sponsorship handling, or marketing program support in a B2B setting.
- Proven strong organizational and project management abilities capable of juggling multiple priorities simultaneously.
- Experience working with event vendors, venue logistics, registration platforms, and onsite event coordination.
- Excellent communication skills with a capability to engage and collaborate with varied stakeholder groups in a fast-moving environment.
- Detail-driven, resourceful, proactive, with a problem-solving mindset focused on customer satisfaction.
- Familiarity with tools such as Google Workspace, Salesforce, Asana, and event management platforms like Splash or Cvent is preferred.
- Available for up to 20-30% travel to support live event execution.
Compensation and Benefits
This full-time position offers an anticipated base salary ranging from $85,000 to $117,000 annually, dependent upon skills, experience, qualifications, and location. The role may also be eligible for discretionary bonus opportunities.
