About the Role

The Senior Conferences and Events Coordinator will mainly provide diverse administrative and project assistance to the Conferences and Events department, managing daily operations and handling complex or technical projects.
Key Responsibilities
- Organize and manage small meetings such as regional section meetings, workshops, and committee sessions.
- Lead the venue contracting process for the Annual Conference and Exhibits (ACE) and specialty conferences, including creating and reviewing RFPs, drafting contracts, negotiating with hotels alongside the lead Conference Manager, and ensuring contracts are signed and stored properly.
- Assist with ACE housing arrangements and coordinate invoicing and commission collection for ACE and other events involving contracted commissions.
- Administer the budget process for conferences and events, including preparing template budgets, collaborating with budget owners to finalize yearly budgets, and entering data into the finance system.
- Coordinate and support department-wide projects as assigned, including off-hours schedules when required for events.
- Participate actively in team meetings and training, and comply with company policies and procedures.
Preferred Qualifications
- Associate's degree in a related field preferred, or an equivalent blend of education and relevant work experience.
- At least four years of administrative experience in a similar role.
- Experience supporting executive-level personnel for at least one year is desirable.
- Two or more years of contracting experience is advantageous.
- Proficiency in Microsoft Office programs is essential; familiarity with Adobe InDesign, InCopy, and SharePoint preferred.

- Competitive hourly wage ranging from $26.00 to $32.69 based on experience.
