Role Summary and Shift
The Senior Air Operations Specialist will be responsible for preparing shipping documents, coordinating shipment routing, and negotiating transportation rates specifically for ground and air cargo. The role requires addressing client queries, resolving shipment problems, and managing complaints effectively. This position works the second shift from 16:00 to 00:00.
Important Eligibility
Candidates must have legal authorization to reside and work in Germany and must provide proof of residence and work permit.
Key Responsibilities
- Prepare and review airline and motor carrier bills of lading, export/import paperwork, and trade compliance forms such as NAFTA/USMCA.
- Accurately maintain records to comply with corporate and regulatory standards.
- Determine the best shipping mode (ground, air, courier) for U.S. and cross-border Canadian shipments, optimizing balance between cost and delivery time.
- Negotiate competitive pricing and service terms with motor carriers, freight forwarders, and couriers including UPS, DHL, and FedEx.
- Monitor and evaluate carrier performance to recommend partnerships that enhance cost efficiency and reliability.
- Coordinate with customs brokers daily to provide necessary import documentation, track customs entries, and expedite shipment clearance.
- Resolve brokerage-related issues promptly to prevent shipment delays or penalties.
- Support domestic sales by supplying accurate freight quotes, weight/dimension data, and carrier recommendations that optimize cost savings.
- Audit freight bills for accuracy, resolve billing discrepancies with carriers, and support ongoing cost control initiatives.
- Serve as the primary client contact for shipment status updates, resolving service failures, complaints, and ensuring customer satisfaction through effective corrective measures.
- Cultivate strong internal and external relationships, delivering exceptional service to build customer trust and loyalty.
- Participate in special projects and continuous improvement efforts assigned by management.
Skills and Abilities
- Outstanding communication skills, both verbal and written, combined with excellent listening and problem-solving capabilities.
- Ability to perform efficiently under pressure in a fast-moving environment and manage multiple tasks simultaneously.
- Strong analytical thinking with high attention to detail.
- Proficient in Transportation Management Systems (TMS), Enterprise Resource Planning (ERP) software, and Microsoft Office tools.
- Customer-oriented mindset with a proactive approach and a track record of delivering high-quality service.
- Fast learner with excellent recall of operational data, rate structures, and carrier policies.
Educational and Experience Requirements
- Minimum of three years’ experience in freight operations, logistics, or related sectors.
- At least two years’ hands-on involvement with motor carriers, freight forwarders, or express courier services.
- Possession of a high school diploma or GED is mandatory; a Bachelor’s degree in Business, Supply Chain Management, or Logistics is preferred.
