Role Summary
This full-time, on-site position is based in Queens, NY. The Senior Administrator is responsible for keeping day-to-day operations running smoothly while supporting the studio’s research and client engagement work. The role covers office administration, schedule and meeting coordination, documentation and record management, and internal communication support. It also involves project tracking, report and presentation preparation, and logistics coordination for client meetings, workshops, and internal reviews.
Key Duties
- Manage administrative activities that help the office operate efficiently.
- Organize calendars, meetings, and schedules across teams and stakeholders.
- Maintain documents, records, and internal communication processes.
- Support project tracking and help prepare reports and presentations.
- Coordinate logistics for client calls, workshops, and internal review sessions.
- Handle vendor interactions and monitor office supplies and resources.
- Work with leadership and project teams to identify operational needs in advance.
- Contribute ideas and support efforts aimed at improving processes across the organization.
Required Qualifications
- Proven administrative and organizational ability, including calendar handling, document management, and prioritizing tasks.
- Familiarity with office and project coordination platforms such as MS Office, Google Workspace, or CRM/project management tools.
- Strong written and spoken communication skills for internal coordination, client materials, and teamwork across functions.
- Good attention to detail and problem-solving skills, especially for scheduling, data entry, and workflow improvements.
- Ability to work independently, manage several deadlines at once, and handle confidential information carefully.
- Experience in research, consulting, healthcare, or a digital-focused setting is considered an advantage.
- Associate or bachelor’s degree in business administration, management, or a related discipline, or equivalent hands-on experience.
- Willingness to work respectfully with diverse teams and adapt quickly in a changing environment.
