Role overview
This contract opportunity is for a Senior Administrative Assistant supporting one or more executive leaders and their teams within the Technology function in New York, NY. The employer is serving a major financial services client that operates as one of the country’s largest mutual life insurance organizations, offering long-term care insurance, mutual funds, and retirement-plan services nationwide.
What you will do
- Keep executive calendars organized, resolve scheduling overlaps, and manage competing priorities, including urgent changes at the last minute.
- Handle general administrative support such as attendance tracking, supply ordering, arranging meetings, preparing materials and presentations, and following up on action items.
- Coordinate internal and external meetings, conferences, and special events, and support other projects or initiatives assigned by leadership.
- Review and process travel and other expenses, including reconciliation of expense reports.
- Maintain organizational charts and related records.
- Provide backup support to technology administrative staff when needed.
- Support HR and divisional managers with onboarding activities for new hires.
- Manage secure, sensitive, and confidential information with care.
- Carry out additional administrative tasks as assigned.

Required skills and experience
- Strong administrative support background, including 5–7 years in the field and at least 3 years supporting senior executives.
- Advanced working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook.
- Excellent written and verbal communication abilities.
- Strong multitasking, prioritization, and time-management capability.
- High attention to detail with sound problem-solving skills.
- Ability to work independently with limited oversight.
- Professional presence, discretion, and a team-oriented approach.
- Clear understanding of urgency and priority management.
- Ability to build positive working relationships with internal and external stakeholders.
- Comfort adapting to shifting needs and handling unexpected challenges.
